Responsibilities

Administrative Operations: Oversee administrative functions to ensure efficient daily operations. Draft business correspondence, manage confidential and general office files, and schedule meetings, conferences, and travel arrangements. Provide support to administrators for involvement with professional organizations, including preparing meeting agendas and arranging facilities. Handle special projects as assigned.

Financial & Budget Management: Develop, review, and manage operational budgets; process and track purchases, budget transfers, and travel requests. Oversee ordering and maintenance of office supplies and equipment. Monitor and assist with grant budgets and financial reporting. May serve as the primary contact for grant-related activities.

Student Affairs & Records Management: Partner with administrators and staff to resolve daily student issues. Manage confidential student records, including disciplinary actions, complaints, and CARE documentation. Maintain expertise in college systems such as the student information system and Maxient, and support staff in obtaining and utilizing enrollment and retention data.

Event Planning & Support: Lead planning and execution of Commencement, including on-site day-of-event support. Assist with coordinating and supporting other divisional activities and events.

Reporting & Data Management: Prepare annual and ad hoc data reports. Coordinate weekly and monthly updates related to enrollment and retention data.

Secondary Functions: Represent administrators at meetings when requested; provide backup support to the Vice President in the Executive Secretary's absence; perform additional duties as assigned by the Academic and Student Affairs Administrators.

Qualifications

Required Qualifications:

Must currently hold the Monroe County Civil Service title of Management Assistant or be reachable on the current eligible list for this title; OR graduation from high school or equivalent, plus either:

Five (5) years of paid full-time or equivalent professional experience in project/program management, office management, or related areas; or program/project development and implementation; or

Associate’s degree with three (3) years of professional experience as defined above; or

Bachelor’s or Master’s degree with one (1) year of professional experience as defined above; or

Any equivalent combination of training and experience as defined by the above. Professional experience does not include secretarial, clerical, reception, or teller-type duties.

Preferred Qualifications:

Working knowledge of Banner or other student information systems; Argos and/or Tableau; Microsoft Tools (including Excel); Maxient; experience assisting students with resolving complicated issues; bilingual abilities (e.g., Spanish) are a plus.

Additional Information

Salary: 55,938.96 - 71,639.95 yearly

Pay Transparency Disclaimer: The posted salary range represents the full salary scale for this position, including all pay steps. Starting salary is typically at the entry level as determined by the Collective Bargaining Agreement. Progression occurs over time based on established criteria such as length of service and performance.
