Role Summary

The Project Coordinator will provide routine administrative support to internal and external project management team members. This position will collect, process, input, organize, and file data and documentation from various sources and stakeholders to support the administrative, documentation, data, reporting, compliance, and communications needs of projects. All activities will be performed in support of JE Dunn’s strategy, vision, and values. Key Role Responsibilities - Core

Utilizes responsibility matrix (WorkSmart) to ensure alignment with ongoing business process improvement efforts, supporting full project lifecycle. Collects, processes, inputs, organizes, and files data and documentation from various sources and stakeholders as requested by the project management team in accordance with established business processes. Processes information within specific timeframes to maintain efficiency and timeliness. Provides timely and effective communication to internal and external stakeholders. Supports project management during the bidding process, including creating bid invitations, preparing specifications, addressing regulatory and compliance requirements, and managing bid communications. Supports project management during the award process by issuing and preparing bond memos, setting up and executing subcontracts, and providing system access to dashboards. Organizes information into standard formats and reports in various systems such as project dashboards, CMiC, and electronic signature tools, maintaining documents per established file structures. Coordinates submission of project documentation and prepares routine correspondence, reviewing outgoing materials for conformance with standards. Creates and distributes potential change items (PCIs) and requests for information (RFIs), following up as needed. Supports project deliverables by managing information on dashboards and electronically processing documents like submittals, pay applications, and change documents. Tracks and monitors documentation to ensure compliance before releasing payments to subcontractors. May handle incoming calls and visitors, providing additional administrative support as needed. Shares expertise to support teamwork and results delivery. Handles confidential information with discretion and integrity. Demonstrates commitment to customer satisfaction, responding promptly and courteously to needs. Manages difficult customer situations efficiently and acts on service opportunities. Solicits and applies feedback to improve quality and service. Supports additional administrative needs such as arranging travel and managing expenses. Knowledge, Skills & Abilities

High School Diploma or GED (Required). Experience

2+ years administrative or clerical support (Required) 2+ years construction project support (Preferred) Working Environment

Must lift up to 10 pounds May require travel Willing to work non-traditional hours Office environment with possible extreme conditions Frequent sitting and computer viewing, occasional standing, walking, bending, climbing, reaching, pushing, pulling Benefits
