Role Summary:

The Talent & People Ops Associate is a highly organized, detail-oriented, and proactive individual who will play an important role in supporting our Talent Manager, Head of HR, and broader Kiln team. This role is a key position, providing essential support across a variety of HR functions, including recruiting, onboarding, benefits administration, HRIS management, and compliance. The ideal candidate is a self-starter who thrives in a fast-paced environment and is committed to maintaining confidentiality and delivering exceptional employee support.

Major Responsibilities:

Recruiting & Onboarding

Assist the Talent Manager with the full-cycle recruiting process, including posting job openings on various platforms, scheduling interviews, and communicating with candidates.

Process pre-employment paperwork and coordinate background checks.

Manage the new hire onboarding process, ensuring all documentation is collected, compliance training is completed, and new employees are properly integrated into the organization.

Conduct new hire orientation sessions, covering company policies, benefits, and administrative procedures.

HRIS & Benefits Administration

Maintain the integrity of employee data within the Human Resources Information System (HRIS), ensuring all records are accurate, up-to-date, and confidential.

Process employee status changes (e.g., transfers, promotions, terminations) and update the HRIS accordingly.

Administer employee benefits programs, including health, dental, vision, life insurance, and 401(k) plans.

Act as a first point of contact for employee inquiries regarding benefits, payroll, and HR policies.

Assist with the annual open enrollment process and benefits reconciliation.

Compliance & Administration

Support the completion of required federal, state, and local compliance reporting.

Ensure all HR-related processes and documentation adhere to legal and regulatory standards.

Assist with filing and maintaining employee personnel files, ensuring they meet legal requirements.

Provide administrative support to the HR department, including drafting correspondence, scheduling meetings, and assisting with special projects.

Ideal Experience & Skills:

Associate's or Bachelor's degree in HR, Business, or related field, or equivalent practical experience.

13 years of experience in an administrative or HR support role.

Experience with an HRIS platform (e.g., BambooHR, Rippling, ADP, Workday).

Excellent organizational and time management skills, with a proven ability to handle multiple tasks and deadlines simultaneously.

Exceptional written and verbal communication skills.

Demonstrated ability to maintain strict confidentiality and exercise sound judgment and discretion.

Preferred: Familiarity with state and federal employment laws (e.g., FLSA, FMLA, EEO).
