Position Summary
The Operations & Office Manager will play a central role in managing day-to-day operations, coordinating with clients and suppliers, and ensuring smooth business and export processes. This role requires strong organizational, communication, and bilingual skills to bridge business operations between our U.S. office and Japanese counterparts.
Key Responsibilities
Supervise and manage daily operations of full-time and part-time employees.
Monitor team workloads and ensure timely completion of assigned duties.
Verify purchase orders, client inquiries, and invoices for accuracy and completion.
Acquire agent and distribution agreements from U.S. manufacturers and suppliers.
Obtain Export Licensing (E/L) for products shipped to Japan.
Travel domestically to meet with manufacturers, suppliers, and vendors (accompanied by the director during the first year).
Occasionally travel internationally to Japan and other countries as needed.
Negotiate pricing and terms with U.S. manufacturers and suppliers.
Oversee product quality control, packaging, and inspection for shipments.
Communicate regularly with Japanese clients and partners.
Manage payroll, confirm employee attendance, and coordinate with payroll firms.
Assist visiting Japanese clients/customers during their U.S. business trips.
Review and track financial documents, including income, expenses, and budgets.
Consult with the Director on major business, legal, and financial decisions.
Provide regular reports and updates to the Director and President.
Perform other office management duties as assigned.
Qualifications
Minimum 3 years of experience in export operations or international business.
Fluent in Japanese and English (both written and verbal).
Strong proficiency in Microsoft Word, Excel, and Outlook.
Excellent organizational and leadership skills.
Ability to multitask and manage priorities in a fast-paced environment.
Strong attention to detail and problem-solving skills.
Professional communication and interpersonal skills.
