Overview

Patient Services Representative role providing efficient, high-quality service to patients who arrive for appointments or contact the office for information on tests and procedures, bills and charges, referrals, and other matters. This description reflects the responsibilities across patient services, billing, and medical records as part of Advocate Health Care. Responsibilities

Greets and accurately registers patients in the EMR system, verifying essential billing and demographic information. Coordinates scheduling of patient appointments (phone and in-person requests) accurately and efficiently. Answers multiple incoming telephone lines, determining the appropriate recipient of calls or messages and referring them promptly and appropriately. Distributes communications according to practice protocol, including pagers, faxes, and emails. Resolves patient questions related to HMO referrals, billing, and services/test results; refers complex issues to the practice manager or a clinical staff member as appropriate. Schedules future appointments, requisitions, laboratory tests, radiology procedures, and other diagnostic tests; may coordinate with hospital admission and/or outpatient admissions and surgery. Notifies the patient care area when a patient has arrived and is ready to be seen; attends to waiting patients and communicates delays when necessary. Identifies insurance type from cards, understands different payers, and verifies eligibility if needed. Performs other related duties as required. Billing Services

Ensures entry of billing information at the time of service and accurate follow-up on missing information. Reviews encounter forms for accuracy and completeness; checks with the physician for missing information. Enters patient charges into the EMR system according to established policies and procedures; batches encounter forms and balances charges. Medical Record Services

Upholds standards for accurate and timely medical records. Ensures availability of properly prepared patient medical records, daily schedules, and related forms. Maintains medical records, including filing and re-filing charts daily; pulls and prepares charts for appointments; maintains confidentiality of all patient information. Releases information from records only according to corporate policies and procedures. Education/Experience Required

High school diploma or equivalent. One to two years of related customer service experience. Experience handling difficult callers/customers/patients. Knowledge, Skills & Abilities Required

CRT/PC experience in a customer service setting. Working knowledge of eClinicalWorks and the scheduling sections of the eClinicalWorks system preferred. Strong communication skills. Ability to solve problems posed by callers seeking referrals, appointments, billing issues, and clinical information. Physical Requirements And Working Conditions

Ability to function in a high-volume, multi-task environment, possibly in a crowded or closely shared workspace. Exposure to ill patients. Ability to work under stressful conditions with demanding customers. Ability to lift up to 35 pounds without assistance; for lifts over 35 pounds or when the patient cannot assist, use patient handling equipment with at least one other associate when available.
