Scope of Position The Program Assistant provides essential administrative and operational support to ensure the effective functioning of program services. This role involves managing communications with participants, maintaining accurate data entry in program databases, supporting billing and reporting processes, and assisting with daily logistical needs. Acting as a liaison between program participants and staff, the Program Assistant also offers triage support and responds to inquiries in a timely and professional manner.
The SOS programs are outreach teams that work with individuals who are homeless and living in the New York City subway system. These teams are community‑based and multidisciplinary, requiring strong coordination and communication to support their impactful work in the field.
Essential Position Functions
Receive and screen telephone calls; respond to program inquiries via phone, email, or mail.
Provide triage support and direct assistance (both in person and by phone) to program participants as needed.
Assist with the scheduled system of appointment reminders, as assigned by the Director, to ensure participants receive timely notifications.
Perform data entry into AWARDS and Foothold Technology systems, and review entries monthly to ensure completeness and accuracy.
Run monthly ePACES reports for each program participant to verify active Medicaid coverage.
Run weekly service verification reports in AWARDS and Foothold Technology to ensure compliance with program requirements.
Collaborate with Program Directors to complete monthly reporting documentation.
Generate program data for monthly billing reports and ensure its accuracy.
Serve as the program’s petty cash custodian and manage petty cash accounts.
Assist with program operational logistics as needed.
Provide administrative and program support to supervisory staff as needed, including scheduling meetings, preparing for special events, conducting literature searches, photocopying, and compiling materials.
Provide culturally sensitive services in accordance with The Bridge’s policies and practices.
Perform other duties as assigned.
Qualifications
Bachelor’s degree preferred.
Personal or professional experience with adults with behavioral health diagnoses is preferred.
Understanding and sensitivity when working with individuals with histories of trauma.
Awareness of the impact of systemic racism on the individuals served in our programs.
Spanish‑speaking is a plus.
