Overview As the Front Office Lead for our busy orthopedic practice, you will be the front office expert and a key member of the Co- Lead management team. This role combines patient-facing duties, such as check-in/out and payment collection, with senior responsibilities, including staff support, training, and stepping into the Manager role as needed. The ideal candidate is a highly organized, compassionate, and detail-oriented professional with a deep understanding of medical insurance and medical record knowledge.

Essential duties and responsibilities

Serves as the point of contact for patients, greeting them warmly and managing the check-in and check-out process with a high degree of professionalism.

Schedule new and follow-up appointments effectively, coordinating with clinical staff to ensure optimal patient flow.

Prepare and organize patient charts for daily appointments, ensuring accuracy and completeness of all required documents.

Process faxes using Provider Flow ensuring data integrity and security.

Financial and Insurance Management

Expertly verify patient insurance eligibility, benefits, and coverage prior to appointments.

Collect copayments, deductibles, and outstanding balances according to established protocols.

Field and resolve complex billing and insurance questions from patients.

Patient Record Administration

Maintain and update patient demographic and insurance information in the EMR system.

Process requests for medical records.

Operational Support

Monitor the office schedule and patient flow, proactively adjusting as needed.

Identify and help resolve operational issues or patient service complaints.

Assist with other administrative and clerical duties as assigned to ensure smooth office operations.

Qualifications

Minimum of 2+ years of experience in a medical office setting, preferably in orthopedics.

Prior experience in a lead or supervisory role is highly desired.

Skills and abilities

Knowledge of medical insurance plans and the verification process.

Proficiency with electronic health record (EHR) systems and medical billing software.

Exceptional customer service, communication, and interpersonal skills.

Strong organizational and problem-solving abilities, with excellent attention to detail.

Proven leadership skills and the ability to train and motivate team members.

Professional demeanor and ability to handle stressful situations with composure.

In-depth understanding of HIPAA regulations and patient confidentiality.

Education

High school diploma or GED required.

Associate’s degree or medical administration assistant certification is a plus.
