Position Summary The Program Associate will serve as a key member of the ESE Compliance team, which is responsible for managing compliance-related activities and processing IEP records requests for inactive students. In this role, the Program Associate will provide essential support to the Compliance Supervisor and the Senior Director of ESE Compliance. Responsibilities include assisting with the monitoring and management of state and due process complaints, tracking compensatory education services, and handling records requests for inactive students' IEPs and related documentation. The role also supports tasks related to social security determination functions as they pertain to Exceptional Student Education (ESE) compliance.
Minimum Qualifications
3–4 years of experience working in a school-based or educational support role
Knowledge of Special Education practices and procedures (preferred)
Experience and demonstrated aptitude with computerized software systems
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.) required
Strong Excel skills, including spreadsheet creation and data organization
Experience with PowerSchool Student Information System and PowerSchool Special Programs (preferred)
Proven ability to manage workflows with accuracy, excellent customer service, and timeliness
Ability to multi-task projects, manage a busy workload, and meet stringent deadlines (required)
Excellent oral and written communication skills
Ability to perform responsibilities with awareness of district requirements and Board of Education policies
Experience working with diverse populations and commitment to equity in education.
Essential Functions
Assist in monitoring and managing state and due process complaints, including tracking compensatory education services.
Process purchase requisitions for the ESE Compliance Department.
Develop and manage systems for tracking and recording invoice payments and purchase order balances, providing monthly updates to the ESE Compliance Senior Director.
Process bi-weekly payroll for the ESE Compliance team and compensatory service providers.
Assist in maintaining accurate payroll records and documentation.
Track, monitor, and follow up on ESE department requisitions to ensure timely processing.
Provide general operational support to Compliance Specialists and ESE Administrators.
Investigate and resolve issues related to the procurement and payment process, from requisition to payment.
Assist with assignments related to fiscal year-end closeout activities.
Support the onboarding process for new ESE hires, as needed.
Represent and support the ESE department at community events.
Maintain current knowledge of district policies and procedures relevant to assigned responsibilities.
Actively value, solicit, and integrate diverse perspectives in all work responsibilities.
Assist with the development and delivery of professional development sessions, including maintaining reference materials and support resources to ensure effective communication and implementation of ESE processes and procedures.
Perform other duties as assigned by the Compliance Senior Director or designee.
