Position Summary This position serves as the primary liaison for the Hospital Director, Managing Director and Chief Medical Officers. It triages high-level administrative concerns, determines priority levels for urgent matters, emergencies, and safety concerns, and coordinates schedules, bookings, travel, and communications. Responsibilities include data collection surveys, data mining, report creation for initiatives, policy interpretation, tour management, hospitality logistics, front-office backup, and other duties as required. Required Job Qualifications Bachelor's degree 3 or more years of relevant work experience, including: Supporting leaders Substantial experience managing administrative responsibilities for executives Anticipating needs and providing comprehensive support to drive the executive's effectiveness Complex scheduling, travel, and meeting arrangements for executives Maintaining confidentiality and discretion Strong customer-service orientation, interpersonal skills, and professionalism Experience with project planning and execution Autonomous, proactive problem-solving and anticipating needs Exceptional detail orientation and organizational skills Ability to manage multiple tasks and prioritize effectively Excellent written and verbal communication Proficiency with Microsoft Office Suite and adaptability to new technology Preferred Job Qualifications Experience with data mining and report creation Experience with Qualtrics or other survey systems Experience with hospitality planning Advanced technology skills Experience with AI Essential Duties Job Duty Category: Program Management Support Duty/Responsibility Support for the Hospital Director, Managing Director and CMOs Triage high-level administrative concerns and determine priority levels for urgent matters Coordinate schedules, book meetings, travel planning, and itineraries Coordinate communication with VHS communications manager; organize meeting logistics and minutes; develop content and communicate with Clinical Services Survey creation, data collection, review, assessment, and reporting; data mining for special projects; interpret program policies; other duties as required Percentage Of Time: 70 Job Duty Category: Office Support Duty/Responsibility Backup coverage for greeting visitors and answering calls Provide answers or route to appropriate contacts Act as liaison for parking issues for VTH and parking services Manage tour scheduling and guides Administrative support and calendars for Hospital Director and CMOs Schedule meetings and book rooms Report building issues and support proctor activities during drills Phone system administration including PTT phones Oversee security badge and key systems Plan hospitality/events and other duties as required Percentage Of Time: 30 Application Details Special Instructions to Applicants: To apply, please upload a cover letter addressing required and preferred qualifications, a resume, and contact information for three professional references.
