Description The Administrative/Office Assistant is responsible for providing general administrative support to operational areas within the organization. This role involves handling external callers and visitors, as well as internal contacts at all levels. Responsibilities include answering phones, greeting guests, scheduling meetings, obtaining supplies, processing mailings, and supporting special projects. Independent judgment is required to prioritize tasks, organize workloads, and recommend office practice improvements. The role also requires maintaining confidentiality of sensitive information.

Compensation: $15.00 - $20.00 / hour

Job Details This is a part-time role, 20 hours per week, with a hybrid work environment.

Essential Functions & Responsibilities General Office Support

Provide support to employees, visitors, and clients as needed.

Maintain an organized office environment.

Manage incoming and outgoing mail and shipments.

Perform administrative duties such as filing, typing, copying, and scanning.

Monitor and restock office equipment and supplies across multiple locations.

Coordinate with executive assistants for requests from senior management.

Administrative Assistance

Support various departments with projects and administrative tasks.

Send gift cards, swag kits, flowers, and gifts.

Coordinate business cards for new hires.

Update and maintain labor law posters.

Assist with meeting arrangements and create shipping labels.

Facilities Coordination

Ensure efficient office operations based on business priorities.

Coordinate repairs and maintenance with vendors.

Monitor office appliances and coordinate supplies and repairs.

Qualifications

Proficiency in MS Office and general office procedures.

Ability to handle interruptions and adapt to changing priorities.

Excellent communication skills, both written and verbal.

Ability to handle confidential information with discretion.

Attention to detail and strong administrative skills.

Ability to build professional relationships at all levels.

High School Diploma required; Associate’s degree preferred.

Minimum of 1 year experience in customer service or office support.

Work Environment

Hybrid/remote work setting.

Office environment with prolonged computer use.

May require lifting up to 15 pounds.
