Job Purpose The Benefits Coordinator is responsible for the administration and coordination of employee benefit programs, including health insurance, dental and vision plans, life insurance, disability and retirement savings plans. This role ensures compliance with applicable laws and regulations, supports employees in understanding and utilizing their benefits, and collaborates with vendors and internal teams to maintain efficient and effective benefit operations. The coordinator plays a key role in enhancing employee satisfaction and retention through accurate, timely, and customer-focused benefit services.

Key Job Elements

Assist with administration of all benefit plans;

Collaborate with vendors to ensure effective benefit administration;

Investigate, analyze, and resolve benefit inquiries and concerns;

Assist with maintenance and testing in benefits platform (bswift);

Perform benefit audits and data analysis to ensure data integrity;

Ensure data integrity and regulatory compliance with Federal and State laws, including HIPAA, COBRA, FMLA, ACA, and other applicable mandates;

Support coordination and processing of annual Open Enrollment;

Assist with the preparation, testing and maintenance of electronic data integration (EDI) files;

Partner with internal IT to support any new or updated data integration;

Support review of weekly electronic file feedback and confirmations;

Prepare, review, and distribute benefit related communications and notices;

Educate employees and fellow HR representatives through creating materials, one‑on‑one support and presentations;

Partner with Payroll team on proper benefits deduction amounts and related changes.

Education / Training High School Diploma; required. Some college; Human Resources or related field of study preferred

Qualifications and Experience

Minimum of 2 years of experience in employee benefits administration or a related HR function;

Strong ability to multi-task;

Strong computer skills to include Microsoft Excel;

Strong interpersonal skills and ability to work with individuals at all levels;

Sound judgement and confidentiality.

Essential and Physical Activities Functions

Strength – Position typically involves work in a standard office environment. Occasional standing and walking. Heavy lifting is rare but may be required;

Motion – Position regularly requires standard repetitive motions and hand/eye coordination associated with office communications. May require bending, lifting, standing, climbing, kneeling, crouching, walking, etc. in cases where Safety investigations require them;

Vision/Hearing Requirements – Constant verbal communications, including both talking and hearing;

Work Environment – Work in temperature‑controlled environment;

Emotional Demands – Responsible for audits and reporting. Requires interpersonal skills and communication;

Safety – Position required to follow all safety guidelines and requirements.
