Intake Specialist . Role Description
As the
Intake Specialist , you’ll be the first point of contact for new and existing clients - the voice and face that represents our firm every day. You’ll play a vital role in managing incoming calls, scheduling appointments, conducting client intakes, and ensuring that all administrative details are handled accurately and efficiently. Key Responsibilities
Greet and assist clients and visitors in a warm, professional manner. Manage a multi-line phone system (Nextiva) and route calls efficiently. Conduct initial client intakes, gather essential information, and maintain accurate records. Schedule appointments, Zoom consultations, and document signings for attorneys and paralegals. Prepare and organize digital and physical case files using
Clio Grow
and
Clio Manage . Support administrative functions including mail handling, billing assistance, and document preparation. Collaborate with attorneys, paralegals, and staff to ensure a seamless client experience. This is a great opportunity for someone who enjoys client interaction, thrives in a professional office environment, and has a talent for organization and follow-through. Qualifications
Education:
High school diploma or equivalent required; additional education in office administration or legal support preferred. Experience:
1–2 years in an administrative, receptionist, or client service role; law firm or professional services experience a plus. Technical Skills:
Proficiency with Microsoft Office (Word, Outlook, Excel) | Experience with
Clio
or similar legal practice management software preferred | Comfort with multi-line phone systems and digital correspondence. Soft Skills:
Excellent verbal and written communication. | Strong attention to detail, organization, and multitasking ability. | Professional, reliable, and team-oriented demeanor. | Ability to maintain confidentiality and handle sensitive client information with discretion. Pay Range:
$18.50 – $22.00 per hour (commensurate with experience). Schedule:
