Summary:

Support the project management and risk management team in ensuring timely and profitable project completion. Perform project administration that actively reduces risk and protects the Company. Perform administrative functions related to submittals, subcontractor compliance, project reporting, and closeouts. Maintain well organized job records and files for multiple projects across the region and/or Company. Interface with subcontractors, vendors, and cross-functional Company personnel to increase communication and ensure accurate compliance and documentation of a project.

Essential Duties And Responsibilities

Create projects and distribute project management documentation, including drawings, via the use of a project management software. Prepare and assist with management of submittal logs and submittal documentation from subcontractors Effectively communicate and collaborate with other departments, such as preconstruction and accounting, to ensure accuracy of subcontractor and vendor document tracking Assist with collecting and maintaining subcontractor compliance documents such as insurance, OSHA Logs, and other required safety forms, as needed by the team Commitment to following Company standards for subcontractor compliance to ensure effective risk management. Create a complete Contract Book, and other on-site project documents, as needed for the Project Manager and Superintendent Coordinate and communicate with vendors, crews, subcontractors, and suppliers to facilitate subcontractor compliance and accurate project documentation. Assist with compiling monthly reports for Historically Underutilized Business (HUB)/ Minority Business Entity (MWBE) participation for projects with HUB requirements and compiling subcontractor and other job cost records for manifest billing projects, at the direction of the Risk Manager as needed. Administrative functions such as: typing of minutes, memos and letters as requested or needed. Assist with obtaining project close out documentation upon completion of project and compiling according to Owner requirements Exercise initiative and perform additional duties as needed to meet the needs of the organization Perform additional assignments per Project Managers’ and Risk Manager’s direction. Office administrative duties, as requested by regional leadership.

Requirements/Experience

A minimum of an Associate’s degree or equivalent combination of education and experience Minimum one to three years related experience required Excellent administrative, organizational, verbal, and written communication skills are essential Computer skills in Microsoft Windows environment to include Excel and Word Experience working within the building trades (design or construction) preferred; Experience working with insurance construction documentation helpful Must present professional appearance and conduct Exceptional customer service and interpersonal skills a must

Physical Demands

Regularly required to sit; occasionally required to stand, walk, stoop, or kneel Must occasionally lift and/or move up to 25 pounds Ability to repetitiously use hands, fingers to handle or feel and to manipulate keys on a keyboard Vision abilities for this position include close vision Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions
