Reviews, evaluates, and recommends revisions in job methods to improve workflow, simplify procedures, or reduce operating costs.
Consults with the administrator to develop and independently implement policies and procedures; develops, updates, and publishes the department\'s policy and procedure manual and disseminates to staff.
Prepare budget estimates, assist in preparing budget justifications, and, in some agencies, prepare entire budget independently, including estimates, justification, and back-up material; or make recommendations and draft proposed annual budget independently, including all back-up material.
Represent the administrator at meetings and maintain current knowledge of Federal and State laws applicable to the department; interpret laws, rules, and regulations and provide information as required.
Respond to and resolve day-to-day problems that arise; develop and conduct orientations with professional and support staff; conduct support staff meetings.
Draft business correspondence and develop formats for a variety of written material.
Order and/or supervise purchase, receipt, and inventory of departmental supplies; review, codes, approve, and process vouchers and purchase orders.
Develop grant applications, including narrative information and statistical data; make recommendations and justifications for personnel changes; write personnel requests and duties statements.
Train subordinate staff in the use of terminals and other office equipment; recommend initial computer system upgrades, changes, and improvements; develop computer use standards to protect the system and maintain confidentiality.
Establish, review, and maintain financial detail reports; evaluate use of office space and make recommendations for space planning and relocation; work with architects and consultants on space requirements.
Arrange physical movements of staff, furniture, and functions necessary to ensure operational flow during office moves.
Knowledge, Skills, and Abilities Thorough knowledge of office terminology, practices and methods; good knowledge of accounting and budget control; working knowledge of software and PC applications; ability to prepare correspondence, reports, and budget data; ability to interpret laws and regulations; ability to represent the administrator at meetings; ability to manage procurement, inventory, and grant processes; ability to supervise and train staff; good judgment, initiative, tact, and integrity.

Required Qualifications:
Must currently hold the Monroe County Civil Service title of Management Assistant or be reachable on the current eligible list for this title; OR
Graduation from high school or equivalency diploma, plus one of the following:
Five (5) years of paid professional experience in project or program management, office management, or related fields; or
Associate's degree with three (3) years of professional experience; or
Bachelor's or higher degree with one (1) year of professional experience.
*Professional experience excludes secretarial, clerical, reception, or teller-type duties.* Special Requirements:
If appointed, you will be required to have a valid driver’s license in New York State or demonstrate the capacity to meet transportation needs of the job. Preferred Qualifications: Bilingual abilities (e.g., read, write, and speak Spanish) or other languages.

Hours: 8:45 am – 4:45 pm, Monday – Friday
Salary: $55,938.96 - $71,639.95 per year
Pay Transparency: The posted salary range represents the full salary scale for this position, including all pay steps. Starting salary is typically at the entry-level figure as determined by the Collective Bargaining Agreement; progression occurs over time based on criteria such as length of service and performance.
Flexible work policy for benefit-eligible employees; arrangements vary by division and position.
Remote work outside New York State is generally not authorized due to tax and regulatory implications.
