About the Role OpenLoop is looking foran
Office Administrative Assistant
(Contract) to join our team at HQ in Des Moines, IA. In this role, you will beresponsible for providing essential support to ensure the smooth and efficientoperation of daily office and administrative functions. You’ll play a key rolein supporting internal teams, organizing schedules, and maintaining excellentcommunication across the organization.
What You'llDo Manage calendars, schedule meetings, and coordinatetravel logistics for team members. Prepare and format documents,reports, and presentations with a high degree of accuracy. Greetguests and serve as the main point of contact for office-related inquiries andassist with in-office event coordination. Maintain officeorganization, including supply inventory, mail distribution, snack and vendorcoordination. Assist in special projects related to the office oradministrative needs of the CEO. Support facilities needsincluding office access management, maintenance requests, safety procedures, andoffice layout planning. Assist with event planning, meetingcoordination, and team communications. Provide executive support asneeded, including managing calendars, scheduling meetings, coordinating travel,and handling administrative requests with discretion and attention todetail. Other duties as assigned. Who You Are Bachelor's degree and experience in an administrative support role(preferred but not required). Highly organized anddetail-oriented, with strong time management skills. Proactive and resourceful with the ability to anticipate needs and solveproblems. Clear and professional communicator, both written andverbal. Comfortable working independently and collaborating ina fast-paced team environment. Proficient in Microsoft OfficeSuite, Google Workspace, and Zoom or similar platforms. Demonstrates a high level of customer service and a strong attention todetail, ensuring both internal and external clients feel valued andwell-supported.
