We are hiring at Outagamie County, located at 320 S. Walnut St, Appleton, WI! The Administrative Specialist performs various administrative functions to support the Department of Health and Human Services in providing services to the public. The role involves cross-training within other divisions of Health and Human Services. Key responsibilities include: Communicating effectively with the public, greeting and directing visitors, providing information, answering multi-line phones, and making referrals. Gathering and documenting information for client enrollment, scheduling appointments, and entering data into various systems. Preparing, editing, and revising documents such as correspondence, reports, and meeting minutes. Managing electronic and paper files, including maintenance and document scanning. Developing spreadsheets, creating charts, and generating reports. Processing mail and paperwork specific to the division, including legal documents and court-related paperwork. Performing background checks, notary duties, and possibly providing financial assistance functions. Maintaining inventory of supplies and verifying bills. Minimum qualifications: High school diploma or GED with at least two years of office experience. Experience with Word, Excel, transcription, scanning, and public contact preferred. Knowledge, skills, and abilities: Knowledge of modern office practices and equipment. Proficiency in computer operation and software used by the department. Typing speed of at least 40 wpm, with a requirement to demonstrate 50 wpm after one year. Effective communication skills in English. Ability to prioritize, multitask, plan, and organize work. Respect for individual differences and ability to work with diverse socioeconomic groups. Confidentiality and accountability.
