Answers telephones promptly and courteously, routing patient calls to the appropriate area or individual. Schedules and cancels appointments using established office guidelines; schedules outpatient tests and surgeries per Capital Health policy. Prepares for day by reviewing eligibility and phone reports; prepares new patient charts and/or paperwork at patient presentation. Greets patients and visitors professionally; informs about privacy policies and procedures; communicates delays in physician schedules and assists with patient comfort. Performs registration to ensure accurate demographic and insurance information; complies with HIPAA, Advance Beneficiary Notice, Advance Directives, and Patients Rights as measured by QA and observation. Obtains copies of insurance cards, driver’s license, authorizations, and referrals; enters into the system as needed. Collects co-payments and balances at check-in and time-of-service balances at check-out per policy. Directs patients to CBO staff for past due balances or resolution questions. Reviews and complies with Patient Account Notes and Appointment Notes in the system; manages assigned Worklists/boxes. Confirms charges and approves claim creations at check-out; processes real-time adjudication and daily Hold Claim Worklists as assigned. Schedules follow-up appointments, creates appointment ticklers in the system, and manages related Worklists/boxes. Completes referrals and pre-authorizations as required. Creates Time of Service batches and reconciles, balances, and closes each batch/drawer at end of day; handoffs to designated resources. Performs clerical duties including processing mail, confirming appointments, sending follow-up notices, and maintaining statistics. Performs other duties as assigned and may be reassigned to other Capital Health Medical Group Practices as needed. Minimum Requirements
Education: High School diploma or equivalent. Experience: One year as a receptionist or clerk in a healthcare environment or one year of customer service experience. Knowledge and Skills: Familiarity with medical terminology, ICD-10 and CPT codes. Excellent communication and interpersonal skills. Medical assistant or medical office technician certification preferred. Special Training: Proficient computer skills; basic Microsoft Office skills; familiarity with Excel. Usual Work Day: 8 hours. Physical Demands and Work Environment
Frequent physical demands include sitting; occasional standing, walking, climbing stairs or ladders, carrying objects, pushing/pulling, twisting, bending, reaching, squatting/kneeling, wrist position variation, fine motor activity, and keyboard use. Continuous demands include talking or hearing; lifting 15 lbs floor to waist and 10 lbs waist level and above. Sensory requirements: accurate near and far vision, depth perception, and hearing. Exposure risks: bloodborne pathogens, chemical, airborne communicable disease, dust/particulate matter. Offers are contingent upon successful onboarding and pre-employment physical.
