Administrative Support
to the B-52 Division within the US Air Force Life Cycle Management Center at Wright-Patterson AFB in Dayton, Ohio. You will provide overall division support for administrative functions, travel coordination, special projects, awards, training, and other non‑acquisition support functions.
Responsibilities include:
Work with functional managers, outside agencies, contractor personnel, and program office customers concerning preparation of technical material, management presentations, and other material in support of meetings, minutes, agendas, and compilation of briefings;
Gather a variety of program information and assist in pre‑acquisition and acquisition strategy planning and implementation;
Develop executive documentation, milestone planning, scheduling, briefing preparation, staff coordination, and decision documentation;
Implement documentation reviews;
Maintain Outlook calendars and schedules of leadership personnel within the organization to maintain accuracy and facilitate office operations;
Answer and make telephone calls, conveying messages for government personnel;
Generate and implement procedures for typing, filing, copying, paper shredding, destruction of sensitive data, and control of documentation, correspondence and action items;
Review documents for accuracy of data, procedure compliance and error‑free documentation of sensitive data;
Use Microsoft Office software suite to produce databases, spreadsheets, graphics and other specialized products, and facilitate the use of standardized automated forms such as organizational charts, pyramid alert/recall and shelter‑in‑place rosters, travel orders, performance reports (OPRs, EPRs), awards, procurement, maintenance, disposition, and other periodic or ad‑hoc reports;
Assist divisional focal points with semi‑annual self‑inspection processes, including SIP administration of the MICT—assigning checklist permissions, loading checklists, assisting POCs with resolving administrative issues, distributing SIP information, and maintaining a tracking system for deficiency identification, corrective actions, and closeout;
Verify accuracy of data inputs for the divisional Defense Civilian Pay System (DCPS), Customer Service Representative (CSR), in/out‑processing, DTS, and Functional Area Records Management (FARM);
Take meeting attendance, minutes, and make travel arrangements for government personnel; interface with the F/B Directorate Lead DTA and site DTS help desk on all DTS issues; prepare and review authorizations and vouchers, ensuring expenditures are allowable and pre‑approved; attach receipts;
Assist in performing workflow management functions to ensure timely F/B Directorate response to internal and external surrenders and taskings;
Manage coordination and suspense control activities for inquiries from HQs and F/B Directorate staff, and prepare responses for SOCCER taskings; collaborate with SOCCER leads and manage tasks from the AFMC SOCCER database;
Support the organization battle staff and unit control center, facilitating communications and providing administrative support;
Monitor the division organizational e‑mail account and distribute information or execute taskings as required, providing responsive support to directorate leadership and divisions.
Required Skills
U.S. citizenship – required due to the sensitivity of customer related requirements.
High School diploma plus 10 years of experience.
Active Secret security clearance.
