Executive Assistant to the Dean and Office Administrator
Dallas Theological Seminary is seeking an Executive Assistant to the Dean and Office Administrator for the DTS-Houston campus. The role supports the Dean by implementing the campus strategic plan, supervising the Dean’s calendar for internal campus responsibilities and external community matters, managing expense approvals, facilitating meetings, preparing communications, and performing related duties as determined by the Dean.
Responsibilities
Assist the Dean in building and sustaining relationships with local alumni, ministry leaders, and donors.
Effectively manage and prioritize the Dean’s calendar, travel, meetings, and scheduling for the DTS-Houston campus and southern region.
Draft and organize institutionally vital communications for the Dean, including MSAs, emails, marketing materials, and surveys to students, alumni, friends, church and community leaders, and partners.
Maintain comprehensive records of partnerships, office documents, and regional data assessments related to the campus and the Dean’s role.
Gather and organize data from alumni, friends, church, and parachurch relationships to support awareness and partnership opportunities; assist in assessing and categorizing collected data.
Assist the Dean in committees, projects, and partnerships necessary for effective campus functioning.
Plan and organize events related to the Dean’s initiatives for alumni, church leaders, students, and the community.
Support campus events led by other staff, such as new student orientation.
Perform other related duties and projects as assigned by the Dean.
Office Administrator
Welcome all incoming guests, maintain the visitor log, and notify employees of appointment arrivals via Teams.
Provide hospitality and assistance for professors and visiting professors.
Assist the Office Manager in maintaining office inventory, purchases, administrative records, meeting minutes, and related duties.
Perform general office tasks such as answering phone calls and responding to emails.
Provide administrative assistance for other departments as needed for special events and projects.
Required Skills/Abilities
Excellent interpersonal and communication skills.
Excellent organizational skills and attention to detail.
Excellent time management with a proven ability to meet deadlines.
Strong analytical and problem-solving skills.
Ability to prioritize multiple simultaneous tasks.
Education and Experience
Bachelor’s degree required.
At least 2 years of experience serving in executive-level contexts.
Proven ability to form and maintain relationships with key internal and external constituents.
