Overview JOB DESCRIPTION: LOGISTICS COORDINATOR

Position/Title: Logistics Coordinator

Exempt/Non-Exempt: Exempt

Reports to: Customer Service and Logistics Manager

GENERAL SUMMARY OF POSITION The Logistics Coordinator performs in an operational, customer service, and sales support capacity. They are responsible for identifying the most efficient means of moving our customer's freight, resolving client conflict, and building valuable relationships with carriers.

TASKS / RESPONSIBILITIES

Develop and manage the end-to-end scheduling and execution of all outbound shipments, exercising discretion and independent judgment to coordinate freight carriers, negotiate freight rates, select cost effective and efficient freight solutions, coordinate with internal teams (e.g., Sales, Warehouse), and determine customer requirements to ensure on-time delivery.

Manage the daily flow of orders and transactions, prioritizing urgent shipments and adjusting schedules proactively to mitigate delays or disruptions in the supply chain.

Serve as the primary liaison between the warehouse/operations team and external logistics partners (carriers, 3PLs), ensuring all parties have accurate and timely information for load tender and pickup.

Establish and maintain a real-time, centralized scheduling system for all logistical movements, providing accurate visibility to stakeholders.

Investigate and resolve complex shipment issues like delays, damaged goods, or incorrect deliveries, including real-time decisions on re-routing, carrier disputes, or expedited service.

Prepare and process shipping documents, such as bills of lading, packing slips, and export paperwork.

Monitor scheduled delivery dates and expedite shipments when necessary to meet deadlines.

Analyze logistics performance metrics (e.g., on-time delivery, costs, and efficiency).

Identify opportunities for process optimization and implement continuous improvement initiatives.

Prepare and review reports to provide insights on logistics operations and performance.

Accurately and efficiently enter data.

Review previous day's transactions to ensure the transactions are complete.

Serve as point of contact for the Company by answering telephone and emails involving transportation and scheduling, and correctly dispatching the communications to the appropriate parties in a timely manner.

Continually monitor, prioritize, and manage load schedule changes and respond in a timely and effective manner.

Ensure all logistics processes comply with applicable regulations, including international trade laws and customs procedures.

Assist with filing claims for damaged or lost freight.

Assist with other administrative responsibilities and coverage for team members as needed.

Other duties as assigned.

QUALIFICATIONS & SKILLS Minimum 2-5 years' experience in a logistical/scheduling environment or bachelor’s degree in Business, Logistics, Supply Chain, or related field preferred. In lieu of a degree, a comparable combination of education, job-specific certification(s), and experience may be considered. Trained and well versed in lean tools and processes. Strong experience with continuous improvement tools. Demonstrated aptitude for problem-solving, documentation, research and resolution, data analysis, and multi-tasking. Must be results-oriented and able to work both independently and in a team. Excellent verbal and written communication skills. Proficiency in Microsoft Office Suite, ERP experience, and contact management software. Ability to manage and work under tight time constraints. Adherence to health and safety regulations (e.g., use of protective gear).

PHYSICAL REQUIREMENTS Ability to communicate orally in a clear, concise, and effective manner with vendors, sales representatives, management, staff, and the public. Ability to use a telephone for communication. Ability to maintain regular, predictable, and punctual attendance. Ability to establish and maintain effective working relationships. Use of office equipment such as a computer, copier, and fax machine. Ability to read and write clearly. Sit, walk, and/or stand for extended periods. Hearing and vision within normal ranges. Ability to stoop, kneel, or crouch occasionally. Manual dexterity to operate equipment. Tolerance to typical industrial chemicals and solvents.
