Job Description The Facility Manager is responsible for the day-to-day administration of policies, procedures, and programs that ensure a well-managed, well-maintained portfolio of building(s). The role emphasizes delivering a positive response to occupant concerns and maintaining quality programs in coordination with the client’s goals and the Master Service Agreement.

Responsibilities

Engage in continual communication with the client, building landlord(s) or managing agent(s) regarding interior and exterior conditions and appearance of properties.

Ensure that auditing procedures exist and are updated for all functions managed in accordance with company and client policy and standards.

Assist in developing and executing maintenance programs for interior and exterior property conditions, ensuring high levels of customer satisfaction.

Manage facilities staff and ensure continuous service to buildings.

Provide premium customer service to staff, tenants, and clients at all times.

Administer programs that measure customer satisfaction with internal/external clients and vendors.

Develop and administer the Property Operating Plan and Budget, subject to Senior Account Leader approval.

Collect and analyze operational data to support facility management objectives for clients and senior management.

Participate in selection of contract services, vendor negotiations, and day-to-day monitoring of vendor performance to ensure compliance with service agreements (e.g., mail, reprographics, copier, print).

Work with staff to set and attain performance and developmental goals; monitor progress and address issues of unsatisfactory performance; maintain two-way communications with staff and client.

Propose compensation recommendations for direct reports.

Attend and participate in events and meetings as approved or directed by account management.

Identify and implement projects at national or regional levels to drive process improvement and streamline business processes.

Oversee mail room and office services operations, work environment, and space utilization management.

Collaborate with the client on Green Initiatives.

Performs other duties as assigned.

Qualifications – Skills, Education, and Experience

Bachelor’s degree

Minimum 5 years facilities management experience

Facilities management certification preferred (e.g., IFMA Certified Facility Manager)

Participation in recognized professional association (e.g., IFMA)

Strong verbal and written communication skills

Ability to manage multiple projects simultaneously and make sound, timely decisions

Proficiency with Microsoft Outlook, Word, PowerPoint and Excel

Salary The base salary is determined on an individualized basis, taking into account factors including relevant skills, experience, education, and, where applicable, licenses or certifications held. In addition to base salary and a competitive benefits package, this position may be eligible for discretionary bonuses and other short- and long-term incentives (e.g., deferred cash, equity).
