This position is responsible for procuring supplies, services, and equipment for an assigned area in accordance with organizational guidelines and state and federal procurement laws. The incumbent procures products, ensures contract compliance, assesses need and availability, determines vendor sources, and reviews requisitions. This position has no responsibility for providing care to patients.
Corporate Overview: The University of Utah is a Level 1 Trauma Center, nationally ranked, and recognized for academic research, quality standards, and overall patient experience. It operates five hospitals and eleven clinics providing comprehensive services and medical advancement.
Responsibilities
Obtains products via distributor or direct purchasing through established procurement procedures and approved software.
Confirms delivery of procured items and verifies receipt and integrity of the product.
Identifies items on shortage and backorder and works with vendors and end users to find substitutions.
Provides expert level support in Lawson for requisitioners as needed.
Reviews and analyzes purchase requisitions and contract compliance, verifies prices, and ensures orders are correct.
Coordinates with internal and external customers to identify orders, needs, and specifications.
Performs bid analysis via Excel to determine low‑cost providers among bid responses.
Determines appropriate method to process requisitions based on cost, time constraints, existing open contracts, and/or competitive bidding.
Collaborates with vendors and internal customers to ensure that supply, service, and equipment needs are met within organizational policies and the Utah State procurement code.
May perform related financial and accounting functions.
May be responsible for preparing, overseeing, and providing documents for audit purposes.
Knowledge / Skills / Abilities
Ability to perform the essential functions of the job as outlined above.
Knowledge of purchasing and contracting policies, laws, and regulations.
Demonstrated excellent communication skills.
Demonstrated knowledge of organizational procurement policies and procedures.
Ability to resolve problems related to prices, product availability, product quality, and delivery.
Ability to perform analysis via Excel to support appropriate bid‑process decisions.
Ability to use BidSync for public communication, response, and awards to support the public procurement process.
Demonstrated ability to learn purchasing and Materials Management Information Systems (MMIS) to facilitate the procurement process.
Qualifications
Bachelor’s degree in Business, Accounting, related field, or equivalency.
One (1) year of experience in a purchasing‑related field.
Preferred Qualifications
Accredited Purchasing Practitioner (APP) or Certified Purchasing Manager (CPM) certification may be preferred.
Procurement experience for a public entity, retail, or hospital setting.
Working Conditions and Physical Demands This is a sedentary office position that may exert up to 10 pounds and may lift, carry, push, pull, or otherwise move objects. This position involves sitting most of the time and does not expose the employee to adverse environmental conditions.
