Overview

The Patient Access Representative 2 - ED (PAR 2) facilitates welcoming and easy access to the facility and establishes encounters for patients who meet hospital service guidelines. They accurately register patients presenting to the Emergency Department, including traumas, stroke patients, disaster response patients, other emergency patients, behavioral health cases, direct admits to inpatient units, surgery patients, radiology patients, and prisoners. Registration includes validating patient identity, collecting ED-specific screening information, coordinating with ED nurses for timely triage, verifying insurance coverage, calculating and collecting patient co-insurance/deductibles/co-pays, determining in-network vs. out-of-network status post-stabilization, and balancing cash. The PAR 2 demonstrates professional communication with patients, families, physicians, and nurses, and manages patient and visitor concerns during traumas and disasters. The PAR 2 is knowledgeable about federal and state regulations related to acute-care patient registration, with emphasis on EMTALA and the No Surprises Act. ED team members must be flexible to change, adapt to a constantly changing environment, and respond to disaster activations on-site until their conclusion. They communicate directly with patients, families, physicians, nurses, insurance companies, and third-party payers. The PAR 2 may serve as a team lead, participate in lean process improvement, mentor new hires, and audit for regulatory and billing compliance.

Responsibilities

Customer Service: Demonstrates a positive attitude, fosters teamwork, responds tactfully to requests, communicates professionally, and adheres to policies and procedures. Follows AIDET service standards (Acknowledge, Introduce, Duration, Explain, Thank) during interactions to promote exceptional service. Handle incoming calls and inquiries, conduct timely and appropriate follow-up, including documentation. Demonstrate sound decision-making balancing mission and financial objectives; communicate with patients and families effectively during anxious situations. Identify and address special needs, call patients by name, follow approved scripting, and ensure professional interactions. Quality: Maintain Passport accuracy percentage rate of 97.5% or above when registering accounts. Career support: Contribute to department flexibility, assist with coverage as needed, support performance targets, and complete required training. Reliability: Report to work as scheduled. Financial Collections: Calculate and collect estimated patient portions, copays, deductibles, deposits, and outstanding balances; discuss notes on pre-admitted accounts; collect cash and balance drawers. Insurance and Benefits Knowledge: Verify eligibility, obtain necessary authorizations, complete Medicare Secondary Payor Questionnaire, use online eligibility tools, and calculate patient financial responsibility using appropriate software and guidelines; perform financial assessments for program assistance. Registration: Collect all required data elements, identify patients in the EMR, create new records when needed, avoid duplicates, assign correct patient type, obtain signatures on hospital documents, document notes, ensure orders align with tests/procedures, provide documents to patients, and scan required documents per policy. Leadership: Serve as team lead as assigned, participate in performance improvement, mentor associates, monitor department queues, resolve account issues within defined timeframes, and audit for regulatory and billing compliance. Other duties as assigned.

Qualifications

Experience: 2 years relevant experience in the healthcare industry. Related certification (e.g., Certified Coder, Certified Medical Assistant) substitutes for 1 year of experience. Education: High School diploma or equivalent.
