Organization : Foundation for Springfield Public Schools, Springfield, MO The Foundation for Springfield Public Schools raises, manages and distributes funds to benefit the students of Springfield Public Schools. Serving over 24,000 students, the Foundation’s goal is to promote educational excellence for every child by working with the community and the public school system. The Foundation manages over $8 million and more than 150 funds and scholarships.

A successful administrator coordinator will:

Directly Reports To: Executive Director

Responsibilities

Provide vital support to the Foundation staff: direct assistance to the Executive Director and staff, oversee daily general management and organization of the office.

Excel working independently: at times be the only employee in the office, in charge of independent tasks, problem-solving, troubleshoot and think on your feet.

See value in data driven work: responsible for data entry and interpretation. The Foundation’s goals are set based on data you report; data is one of the most critical resources.

Have a keen eye for detail and organization; play a key role in providing efficient and effective office coordination.

Process all Foundation donations, invoices, statements and other financial data using QuickBooks and donor software.

Process Foundation scholarships and grants; enter grant and scholarship bills.

Update grant and scholarship spreadsheets as needed (Back to School grants, Bus transportation, scholarships, etc.).

Support Executive Director in analyzing data reports critical to the success of the Foundation.

Maintain financial software and donor software.

Organize and maintain office supplies and storage; maintain fund and vendor folders.

Answer phones, greet visitors, regularly communicate with donors.

Assist with events and other projects as directed.

Coordinate schedules and meetings.

Work with district personnel to serve Foundation.

Attend monthly board meetings to keep minutes.

Support program administrative duties; work closely with Program Director on responsibilities.

Support alumni mailing efforts; put mailings together, work with bulk mail office, order needed mailing supplies.

Support alumni events as needed.

Process Lunch & Learn registrations; support Lunch & Learn mailings and events.

Provide administrative support for programs like Coats for Kids and Ambassadors program as needed.

Support development administrative duties; work closely with Development Director on responsibilities.

Send donor acknowledgment letters through Bloomerang.

Support fundraising events and campaigns as needed; support Celebrate SPS Banquet; support new and existing fundraising campaigns and events as needed.

Qualifications

Experience in the non-profit field preferred.

Knowledge of Microsoft Office required.

Knowledge of Bloomerang donor software a plus.

Knowledge of QuickBooks financial software a plus.

Highly motivated, organized and detail oriented.

Occasionally required to lift and carry boxes of materials and equipment weighing 25-50 pounds.

Requires some evening and weekends.

Must pass a criminal background check.
