As our firm grows, we’re excited to welcome two Intake Specialists to our team (Fully Remote). As an Intake Specialist at NC Planning, you’ll be the first point of contact for new clients—offering reassurance, listening deeply to their stories, and ensuring they feel supported from their first interaction. Whether you’re helping someone plan for the future or assisting a family in the midst of loss, your warmth and expertise will set the tone for their experience with us. Your days will include handling inbound calls, emails, and online inquiries, thoughtfully qualifying leads, and coordinating appointments for estate planning and estate administration services. Using our CRM, you’ll accurately capture client information and guide every person to the right solution, ensuring no one falls through the cracks. You’ll make every interaction one of genuine care and professionalism. $39,000 to $52,000 annually, plus performance-based bonus opportunities. Final base salary will be commensurate with experience, role responsibilities, and the local market for your location. Responsibilities
Respond promptly and professionally to potential client inquiries (phone, email, online forms) Conduct initial screening with patience and accuracy to determine case eligibility and alignment with firm focus areas Schedule consultations with attorneys, coordinate calendars, and follow-ups Perform data entry and manage documents within Clio Grow Track, update, and manage the lead pipeline through the intake CRM Conduct basic conflict checks and policy compliance Provide empathetic support for clients dealing with loss, uncertainty, and complex matters Guide clients through the firm’s intake process, expectations, and next steps Assist in follow-up communications and conversion of inquiries to engagements Maintain confidentiality and uphold the firm\'s reputation at every touch point Support administrative tasks as directed Qualifications
An associate’s degree or higher is a plus, but not required Experience in legal, customer service, or high-volume support environment preferred Excellent verbal and written communication skills Strong organizational skills, attention to detail, and ability to multitask Demonstrated tech proficiency (video platforms, CRM, MS Office/Google Workspace, e-signature, etc.). Ability to learn and master Clio Grow quickly. Ability to empathize and communicate with clients under stress Sales/conversion mindset: comfortable guiding leads through the process Experience with estate planning/probate is a plus, but not required High integrity and commitment to confidentiality Core Skills & Characteristics
