Administrative Coordinator (aHEO) – Office of Student Affairs
Position available at the CUNY School of Medicine (SoM), located in Harlem, New York. The SoM is the only public medical school in Manhattan and offers accelerated BS/MD and Physician Assistant programs.
Position Details The role reports to the Associate Dean for Student Affairs and supports projects and initiatives of the Office of Student Affairs. Responsibilities include front‑office coordination, correspondence, data collection, event logistics, meeting support, and project follow‑up.
Responsibilities
Serve as a front‑line ambassador to the campus community and visitors on informational matters; answer calls, emails, and in‑person inquiries; ensure front office coverage.
liaise with college departments (e.g., Provost Office, HR, Finance) and assist with day‑to‑day operations, including purchasing, payments, and time and leave tracking.
draft and disseminate correspondence such as emails, response letters, flyers, brochures, and event materials; support data collection and surveys by administering online questionnaires and maintaining statistics for student engagement initiatives.
assist with organization and facilitation of student‑related programming, events, and ceremonies by coordinating logistics, documentation, and promotional materials; coordinate registration processes, event materials, and venue setup.
schedule and provide administrative support for virtual or in‑person meetings and other group gatherings; prepare meeting agendas, minutes, and disseminate materials as needed.
assist with the preparation and execution of teleconferences, seminars, and events; coordinate logistics such as room set‑up, audio‑visual requirements, catering, and other materials.
work with the Associate Dean for Student Affairs and other administrators to support academic and student‑related projects; monitor and perform follow‑up activities to ensure project deadlines are met.
perform other duties as assigned by the Associate Dean for Student Affairs or designee.
Qualifications • Bachelor’s Degree required.
Preferred Qualifications
Advanced degree in business administration or related field and three (3) years of experience working in an administrative capacity in higher education.
Excellent organizational, interpersonal, oral, and written communication skills with a high level of attention to detail.
Demonstrated ability to work independently as well as collaboratively in a fast‑paced, dynamic environment.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and ability to create reports, draft presentations, conduct data collection and data entry processes.
Ability to maintain confidentiality and exercise discretion in managing assigned tasks.
CUNY Title Overview
Manage basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.
Collect data, prepare, and distribute reports and presentations using word processing, spreadsheet, and presentation software.
Update office databases, lists, and files to ensure completeness and accuracy; maintain current information on department web sites; maintain department archives and collections.
Conduct internet and/or database research and perform basic systems queries to locate information related to department activities.
Maintain department fiscal plans and budgets; assist in budget administration and invoice processing.
Provide basic information, instructions, and materials as requested by students, faculty, and others who contact the department.
May supervise office staff and student workers.
Perform related duties as assigned.
Compensation & Benefits Salary range: $48,647 – $74,754, commensurate with education and experience. CUNY’s benefits include health plans, retirement/pension, tuition waivers for CUNY graduate study, generous paid time off, and access to campus academic, arts, and athletic programs.
