Law Firm Intake Specialist (Marketing/Admin Role). Our law office is growing fast, and we’re searching for a Legal Intake Specialist to help us succeed. You’ll serve as the compassionate voice of our law firm, fielding inbound calls from prospective clients, screening and surveying for potential cases, and helping our lawyers manage their meetings. This role is a combination of marketing and admin roles. Administrative duties include: answering telephones, routing callers, answering questions, and scheduling return calls; All communication with clients will be professional, sympathetic, and compassionate; open, sort, scan, save/route mail; put deadlines in the system; schedule client appointments; review daily appointments and reminders; make copies/scans of documents; triage the Owner\'s email. Marketing Support Duties
Talks to leads and identifies whether they are qualified leads by asking questions to speak to the ideal client, target the correct legal issues, gauge urgency/motivation, and determine potential conflicts of interest. Schedules qualified leads for initial consultations (sales calls). Prepares engagement agreements and follows up to ensure prospects sign the agreement and make the agreed payment. Assists with onboarding the client to the firm (opening the file in case management software, notifying the legal team). Follows up with new clients within 1 day of engagement to ensure customer satisfaction and address questions about client policies. Makes referrals to appropriate firms/other sources, shares free resources, or provides other assistance for leads who are not ideal or who do not schedule a consultation. Stays in contact with leads who do not schedule consultations, PNCs who do not appear for their consult, and PNCs who do not sign up after their initial consultation to keep the door open for future contact. Updates the firm\'s databases, reports, or spreadsheets to track incoming calls, leads qualified, consultations scheduled, referral sources, and other key metrics. Makes regular calls to clients to ensure good customer service and to give clients confidence that attention is being paid to their case. Communicates with clients when the case closes, obtains reviews and testimonials. Makes back-end marketing calls to former clients and current clients. Creates lists for calls to current referral sources, provides call lists to the Owner prior to the call, and updates the Leads spreadsheet daily. Follow an approved script to call former clients (on behalf of the Owner) to check in with current or former clients. Ensure notecards and follow-up cards are in stock and sent timely after networking events or on important dates, and the rainmaking rolodex (or CRM) is updated timely. Maintain and help update a tracking system to monitor and report on progress with leads, prospective new clients, and referral sources. Provide weekly reports to the Owner. Create contacts and update contact information in the case management or contact management system. Provide the Owner with lists of Leads to call for the week and update the Leads list to track the last contacts monthly. Make weekly postings on LinkedIn, Facebook, and other social media outlets (with attorney assistance for content). Qualifications
Strong computer and data entry skills; proficient with Microsoft Office, especially Excel; proficiency with Outlook and Microsoft 365; MyCase is a plus. Outstanding communication skills and empathy; ability to recognize immigration forms and place deadlines on the calendar. Spanish or other languages are a plus. Strong calendar, e-mail, spreadsheets, word processing, LinkedIn, and Facebook skills; a bachelor\'s degree is preferred. 1-2 years of previous experience in an immigration law firm setting performing administrative tasks.
