Responsibilities Administrative & Executive Support
Manage the CEO’s calendar, schedule meetings, and coordinate travel arrangements.
Screen and prioritize emails, calls, and other correspondence, ensuring timely responses.
Prepare and submit expense reports, monitor reimbursements, track budget allocations for executive-related expenses, and ensure proper documentation of expenditures.
Oversee the organization and maintenance of files and critical documents, including electronic and hard copy lease records, documents for various projects, financing documents, and operational files.
Operations & Special Projects
Conduct research on leases, contracts, and legal documents, summarizing key provisions for executive review.
Lead and support special projects related to real estate operations, office administration, and corporate initiatives.
Coordinate cross‑functional projects, ensuring deadlines and deliverables are met efficiently.
Develop and implement organizational systems to improve workflow and efficiency.
KPI Reporting & Data Management
Assist in tracking and analyzing key performance indicators (KPIs) for various real estate and business operations.
Compile financial, operational, and strategic reports for the CEO and other stakeholders.
Gather data and insights from different departments to support decision‑making.
Board & Shareholder Communications
Serve as a liaison between the CEO and the Board of Directors, shareholders, and key stakeholders.
Assist in the preparation and distribution of board meeting materials, agendas, and minutes.
Draft internal and external communications, ensuring professionalism and clarity.
Presentation & Reporting
Prepare presentation materials, reports, and summaries for executive meetings.
Create and refine PowerPoint presentations, Excel reports, and other business documentation.
Ensure accuracy and professionalism in all written and visual materials.
You Have
Bachelor’s degree in Business Administration, Real Estate, Finance, or a related field preferred.
Minimum of 5 years of experience in an executive support, operations, or Chief of Staff role.
Strong understanding of real estate operations, contracts, and lease management.
Exceptional organizational, analytical, and problem‑solving skills.
High proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) and document management systems.
Strong communication and interpersonal skills, with the ability to interact effectively with senior executives and stakeholders.
Ability to handle confidential information with discretion and professionalism.
Proactive, adaptable, and able to thrive in a fast‑paced environment.
You Should Be Able To
Work at a computer and remain stationary for extended periods.
Communicate clearly with others verbally and in writing.
Handle repetitive motions of wrists, hands, and fingers.
Occasionally lift, move, or carry items up to 25 pounds.
Move about properties often, including ascending/descending stairs.
Bend, squat, kneel, twist, and walk for periods of time while inspecting/addressing properties or equipment.
