Responsibilities
The Unit Secretary provides clerical and other support services to maximize the ability of nursing personnel to provide patient care.
Provides telephone coverage for the nursing station, routing incoming and outgoing calls, taking messages, and covering the desk for stat procedures.
Serves as a resource person for inquiries from other departments.
Responds to public inquiries by directing them to the appropriate person.
Greets all patients, visitors, employees and physicians upon arrival to the unit.
Monitors patient call lights and informs nurses of patient needs in a timely manner.
Prepares and compiles patient’s charts and other records, maintains the patient’s medical record with required forms, and prepares the admission chart.
Accurate registration of supplies and equipment and enters correct discharge information into the computer system.
Retrieves old medical records, prints admission package, and prepares transfer of patients by obtaining old charts from medical records, transfer form with labels.
Maintains up-to-date assignment board, bulletin board, and other communication sources.
Initials and files all diagnostic reports in appropriate location in chart after review by the charge nurse.
Establishes, organizes and maintains functional work environment on the units and consistently maintains unit supplies.
Assists with on-the-job training and orientation of new unit secretaries.
Accepts reassignments to other units and/or alternate shifts.
Education & Requirements
High school diploma or general education degree (GED).
Must type 35 correct words per minute.
Related experience and/or training is preferred.
Working Environment
Works indoors in an office/clinic setting.
The noise level is usually moderate.
Frequently works near moving mechanical parts.
Occasionally exposed to blood and/or body fluids and infection.
Occasionally exposed to toxic or caustic chemicals.
Occasionally exposed to risk of radiation.
Physical Demands
Constantly required to maintain a stationary position behind a computer.
Frequently required to move about inside the department.
Constantly required to communicate telephonically and face to face with colleagues and customers.
Constantly required to operate a computer and telephone.
Constantly required to lift and/or move up to 10 pounds; frequently required to lift and/or move up to 25 pounds; occasionally required to lift and/or move up to 50 pounds.
Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, and depth perception.
