Summary Under the direct supervision of the Atlanta Office Administrator, the Office Services and Events Assistant provides a variety of office services duties, maintains positive contact with clients, attorneys, and staff, and observes confidentiality of client and firm matters.
Essential Job Duties And Responsibilities
Performs copy and printing projects for requestors and distributes materials to recipients.
Provides receptionist support during scheduled breaks and lunch hours; supports the reception station when the receptionist is on vacation or leave.
Manages kitchen and office supply inventories; stocks supply rooms and refrigerators.
Stocks photocopy machines with supplies; maintains relationships with office machine supply vendors, orders necessary supplies, and calls in service when necessary.
Opens and distributes all interoffice and external mail, learns the basics of iManage to identify distribution, tracks mail and packages with local US Postal Service, UPS and FedEx, and files large registered mail projects with the US Postal Service as needed.
Assists with setup and breakdown of conference rooms for meetings, including setting up office supplies and food items when necessary.
Other duties as assigned.
Knowledge, Skills, And Abilities Required
Represents the firm in a professional manner with the highest levels of customer service at all times with a focus on firm goodwill.
Strong attention to detail and ability to follow verbal and written instructions and checklists.
Interpersonal skills necessary to communicate in person, by e‑mail, and telephone to provide information with ordinary courtesy, ease, and tact.
High School Diploma or GED Certification with two years’ prior experience in an office services, food service or facilities environment.
Minimum two years of office experience; law firm experience preferred.
Ability to organize and prioritize numerous tasks and complete them within established time constraints. Consult with firm administrator and attorneys when priorities conflict.
Work occasionally requires more than 40 hours per week to perform the essential duties of the position; position may require non‑standard hours. Occasional overtime to support after‑hours receptions/events.
Working Conditions
Lifting and transporting of carts, furniture, boxes, and packages up to 50 pounds.
Must be able to stand or walk 90% of the workday.
Must have the ability to work under pressure and multi‑task.
Standard office environment with little exposure to excessive noise, dust, and temperature.
