Sr. Records Assistant – Imaging University of Miami – Full time, Staff, H3 Pay Grade.

The UHealth Department of Radiology seeks a Senior Records Assistant (H) in Miami. The incumbent compiles, scans, and organizes various records for the assigned department(s), ensuring record confidentiality and compliance with all applicable standards and regulations. The incumbent will also assist with general office tasks as needed.

Responsibilities

Compile, scan, and organize records and ensure they are up to date and filed appropriately.

Review and address any requests for records.

Retrieve records and coordinate dispersal of information to appropriate departments.

Review accuracy and completeness of records, notify appropriate staff of potential issues, and perform corrective actions to ensure information is accurate and current.

Perform general office tasks as needed.

Assist in purging outdated records.

Maintain confidentiality of all records.

Adhere to University and unit-level policy and procedures and safeguard University assets.

Support workflow at UM Imaging counters to import/export digital studies, documents to/from PACS or UChart, and process film jacket/CD requests via telephone, fax, and in person.

Utilize UChart‑Radiant (RIS) and/or PACS to import or export digital images and report data.

Ensure proper distribution of radiology reports to ordering physicians.

Retrieve voicemail messages in a timely manner.

Resolve radiology exceptions in PACS for images.

Maintain accurate and complete clerical systems and records.

Work closely with physicians and serve as department liaison supporting all clinical areas.

Oversee release of digital information and ensure availability of records to patients, physicians and clinical staff via in‑person, fax, telephone, subpoenas, and legal requests.

Manage document services with records retention vendor.

Ensure a high degree of customer satisfaction by consistently adhering to the department’s values.

Assist with department onboarding and training of staff.

Comply with hospital requirements, Joint Commission, State requirements, and work closely with the HIPAA Privacy Office to ensure HIPAA compliance.

Establish and continuously assess the effectiveness of internal controls within the unit and compliance with university policies. Ensure employees are trained on controls and policies.

Qualifications Education:

High school diploma or equivalent.

Experience:

Minimum 3 years of relevant experience.

Knowledge, Skills and Attitudes:

General knowledge of office procedures and operations.

Ability to accurately prepare and maintain records, files, reports and correspondence.

Ability to understand and follow instructions.

Skill in completing assignments accurately and with attention to detail.

Ability to process and handle confidential information with discretion.
