Position Summary
The Academic Affairs Coordinator supports the operations of the Academic Affairs division, with responsibilities spanning registrar functions, academic administration, and institutional effectiveness. This role assists with registrar services, student and faculty support, and data and document management. The Coordinator contributes to the efficient flow of information across academic departments and supports the documentation required for student records, institutional accreditation, assessment, and regulatory compliance.
Key Responsibilities
Provide administrative and operational support to the Academic Affairs team and Registrar’s Office
Enter, update, and maintain accurate student data in the student information system (SIS)
Assist with course registration, schedule changes, course withdrawals, and other student record processes
Serve as a point of contact for students, faculty, and advisors regarding academic policies, registration deadlines, and procedures
Implement Academic Affairs communications, including student‑, faculty‑, and advisor‑facing updates, website information, and repositories
Maintain office templates, forms, checklists, and standard operating procedures (SOPs)
Assist with academic term readiness, orientation support, and coordination of academic events or meetings
Support documentation and recordkeeping related to assessment activities, accreditation, and regulatory reporting
Compile and organize academic and institutional data to assist with internal and external reporting needs
Contribute to process improvement initiatives and leverage AI tools to enhance office efficiency
Collaborate with colleagues across university departments to ensure coordinated academic operations
Handle special projects and assignments as designated by the Director of Academic Affairs/Registrar
Support the mission and educational philosophy of UATX through a commitment to excellence, integrity, and innovation
Qualifications: Education and Experience
Bachelor’s degree required
One to three years of professional experience in higher education administration or a related academic or operational role preferred
Experience with student information systems (SIS) and learning management systems (LMS); Populi experience preferred
Qualifications: Knowledge, Skills, and Abilities
Strong alignment with UATX’s mission, values, and liberal education philosophy, including grounding in the Western intellectual tradition
Excellent writing, communication, and interpersonal skills with a professional and service‑oriented approach
Strong organizational skills and attention to detail
Ability to manage multiple projects and deadlines in a dynamic environment
Proficiency with data systems, spreadsheets, and productivity software; comfort with AI tools and digital platforms to improve workflows and outcomes
Familiarity with FERPA, academic policy, and institutional compliance standards
Interest in accreditation processes and assessment documentation
Demonstrated builder mindset: proactive, adaptable, and committed to continuous improvement
Working Conditions This position is office‑based with extensive computer and system usage. Occasional evening or weekend hours may be required during academic term transitions, registration periods, or special events.
