Base Pay Range $25.00/yr - $30.00/yr

Job Description The AP/AR Coordinator is responsible for the accurate and timely processing of the company’s accounts payable and receivable functions, supporting the Controller and project management team to ensure compliance with internal financial controls, client contract terms, and company policies. This role contributes to maintaining smooth accounting operations and positive relationships with clients and vendors.

Essential Job Functions Accounts Receivable

Prepare and distribute client invoices weekly in accordance with established billing schedules.

Enter AR invoices into client billing portals and maintain supporting documentation.

Collaborate with project management staff for billing approvals, client requests, and job cost adjustments.

Review project setup for accuracy and compliance with company policies.

Track and follow up on outstanding invoices; maintain AR aging and collection logs.

Accounts Payable

Process vendor invoices and employee reimbursements following internal approval procedures.

Maintain accurate vendor files; manage vendor setup and ensure W-9 and insurance compliance.

Process in-person DMV registration payments and other local disbursements.

Prepare and assist with check runs and electronic payments.

Reconcile vendor statements and resolve discrepancies.

General Accounting Support

Assist with payroll processing, timecard verification, and employee reimbursements.

Support internal and external audits by providing documentation as needed.

Maintain organized accounting records in compliance with retention policies.

Provide administrative support to the Controller and Payroll.

Requirements Experience Required

Minimum 2-4 years of relevant accounting experience (engineering or professional services industries preferred)

Experience with Deltek Ajera or similar ERP system preferred.

Payroll experience preferred

Education Required

Associates degree in Accounting, Finance, or related field (Bachelor’s preferred).

California Notary Public license preferred.

Skills

Proficiency with Microsoft Excel, Outlook, and accounting software.

Solid understanding of general accounting practices and GAAP principles.

Strong data entry accuracy and attention to detail.

Excellent written and verbal communication skills.

Effective time management and ability to meet deadlines.

Experience preparing invoices and processing vendor payments.
