Responsibilities
Manage group reservations and group rooms inventory as part of the convention services process. Main duties include:
Group Block Management
Build groups in hotel systems
Reserve
Opera
Passkey
Manage group reservation process for groups of up to 1,193 rooms per night
Serve as liaison between hotel and client for guest room questions and needs
Assist in group detailing, including billing, to ensure the guest and client planner arrival experience is seamless
Ensure accuracy when loading rooming lists and processing any changes to group reservations
Airline Crew Reservation Oversight
Manage reservation process for airline crews, approximately 3,000 reservations per month
Complete audits of crew reservations to ensure accuracy
Coordinate with airlines when additional rooms are necessary
Transient Room Reservations – Enter and update reservations from a variety of sources
Call Center Liaison
– Assist GCC representatives in special considerations for guest reservations
Maintain customer relationships from file turnover through arrival, track no‑show and wash history, manage rooming list changes, and inventory for individual call‑in groups
Prepare and submit group rooms recap reports, track/post group comps, rebate/commission calculations
Work Arrangement This position is a remote role, but due to the importance in coordinating group experience, it requires flexible hours, including evenings, weekends, and holidays as needed.

Qualifications
Ability to work flexible hours, including evenings, weekends, and holidays as needed.
Proficiency in Microsoft Office (Word, Excel, PowerPoint).
Previous administrative and hotel experience.
Positive attitude and willingness to exceed expectations of guests.
Experience in the following hotel systems preferred: Reserve, Opera, Opera Cloud, Envision, Passkey, RMT, OTA Extranets.
Excellent multi‑tasking and organizational skills.
Excellent time‑management skills.
Understanding of rooms merchandising and yield management processes.
