Interlibrary Services Coordinator (Hybrid) role at University of California, Merced.

Overview The Interlibrary Services Coordinator (ISC) manages interlibrary services operations within the Access Services Unit, supervising 2-3 FTE (equivalent to 5-9 student assistants) and handling daily interlibrary processing tasks. The ISC develops and maintains procedures for interlibrary services, recruits and trains student assistants, and compiles monthly and yearly interlibrary loan statistics. The ISC also provides reference/information services and collaborates with UC Merced Library staff and system-wide committees. Other duties may be assigned.

Key Responsibilities

Interlibrary Services: Oversees daily operations of interlibrary lending and borrowing (primary emphasis on lending), resolves issues related to shipping/receiving and courier communication, manages resource sharing requests, selects lender rota for turnaround time, and monitors daily RS activities in accordance with library policies, RS codes, and copyright law.

Procedures: Develops policies and procedures for resource sharing services, maintains manuals, drafts procedural changes, and collaborates with the Library Administrative Coordinator on billing and purchasing procedures.

Reference/Information Services: Performs bibliographic verification using catalogs and databases; provides customer service, communicates request status, and ensures timely return of materials.

Systems: Manages resource sharing systems (e.g., Alma, Tipasa), coordinates upgrades, and resolves problems; maintains expertise in interlibrary systems; coordinates with UC campuses and California Digital Library to ensure systems function properly.

Advisory: Advises Access Services management on interlibrary services developments; suggests policy/procedure changes; communicates with Head of Collections regarding potential purchases.

Statistics: Collects and maintains ILL activity data; provides monthly and annual reports.

Supervision: Primary supervisor for ILL student assistants; manages recruitments, timesheets, schedules, evaluations, and disciplinary actions; supervises 5-9 student assistants; provides training and maintains training documentation.

Information Services: Provides basic/intermediate reference and information services in person and online; refers complex questions; maintains communication with librarians; assists patrons with ILL requests and coordinates with IT as needed.

Other Duties: Serves on local committees; manages projects to support Library-wide and Access Services goals.

Qualifications Education and Requirements

High school diploma and/or equivalent certification/experience.

Bachelor's degree from an accredited university (Preferred).

Ability to possess the skills, knowledge, and abilities essential to the duties of the position.

Critical Knowledge and Skills

Excellent oral and written communication skills; professional language and formatting.

Excellent customer service and ability to interact with the public in a library setting.

Discretion, confidentiality, sensitivity, and professional judgment.

Flexibility in scheduling and willingness to adjust work hours as needed.

Administrative experience and knowledge of standard office practices.

Strong organizational skills; ability to prioritize and work independently or in a team.

Proficiency with Windows-based programs (e.g., MS Word, Excel).

Knowledge of database management, internet search, and email programs.

Intermediate knowledge of library online systems, scholarly databases, and resources.

Familiarity with complex library systems and interlibrary loan processes.

Ability to use sophisticated online interlibrary loan systems.

Ability to work in a fast-paced environment with fluctuating priorities.

Knowledge of UC Policies and Procedures.

Experience hiring, training, and supervising student employees.

Two or more years of college-level coursework or equivalent experience (Preferred).
