Overview

Accurately schedules new patients and follow-up appointments

Obtains medical records from referring physicians and other appropriate offices/locations and files in EMR accordingly

Coordinates all patient demographics for preregistration/registration and completes the preregistration/registration process

Schedule procedures/tests for patients with Central Scheduling at Hospital and other facilities as ordered by the doctor and obtain insurance authorizations as necessary

Assists with the patient file maintenance; ensures and protects patient confidentiality

Performs receptionist’s duties for the department; promptly and courteously answers the telephone; relays accurate phone messages; promptly greets all patients/visitors to the department

Arrange transportation with case management for inpatient transfers

Coordinates physicians schedules and assist physicians with communicating any changes to ensure coverage and workflow is accurate

Responsible for coordinating and assisting the physicians administrative tasks/duties

Assists the Patient Service/billing Specialist with billing, insurance and financial tasks when needed and functions as a back-up when necessary

Inventories and orders office supplies as necessary

Coordinates the laundry order, stores and keeps department stocked with appropriate linen levels

Ensures the Departmental Downtime procedure clerical tasks are complete each day

Secures the Department at the end of each work day

Other duties as assigned by department director

Performs Minor Clinical Functions to assist the Clinical Team

Promptly sets up exam room and prepares patient for physician

Ensures patients test results and reports are provided to the nurse or physician in a timely manner

Coordinates with courier staff for pick-up of records or imaging studies needed by physicians and/or physics staff

Assist with the transfer of patients onto the CT simulator/Linac tables when requested

Restock Dressing rooms with gowns and robes

Maintains responsibility for attendance/reliability to ensure that the Hospital/Center is operated in an efficient and cost effective manner

Reviews, supports, and abides by and encourages Patient Satisfaction and Confidentiality Standards for the Department; exemplifies high standards of hospitality by extending to patients, visitors, physicians, and fellow employees courtesy, respect, concern, and prompt attention and service

Demonstrates adherence to hospital policy & procedures regarding Fire & Safety, HIPAA Privacy and Right to Know, Standard Precautions, and Disaster Plan and all mandatory in-service requirements

Demonstrates responsibility & accountability for job performance and personal conduct while on duty

Maintains & respects patient and employee dignity and confidentiality following customer service standards. Is courteous to patients, visitors, and employees. Uses appropriate language for the work setting

Wears I.D. badge and dresses appropriately for the position and hospital environment adhering to department dress code. Is clean and well groomed at all times

Projects a positive image of the Hospital when dealing with physicians, patients & families, visitors, and staff

Responds to requests in a friendly, co-operative manner. Establishes cooperative working relationships with hospital staff

Performs all functions in accordance with institutional & departmental policies & procedures. Observes all hospital policies and regulations governing conduct while at work
