Overview The Radiology Services Specialist (RSS) provides quality customer service and financial guidance. Duties include greeting patients, collecting demographics including insurance, and scheduling appointments. RSS is responsible for obtaining/managing prior authorizations required for on-site radiology services. Acts as the liaison between the patient and the practice by communicating financial responsibilities and ensuring benefits are documented in the EMR and billing software. The RSS coordinates payments, assistance, and monitoring patient balances, and streamlines communication of the financial responsibilities of patients. Ensures patients’ insurance benefits are kept up to date in the EMR and billing software while verifying that services meet insurance coverage requirements.

Pay Range $15.83 - $26.38

Key Performance Areas

Responsible for scheduling radiology appointments and maintaining all future schedules to adhere to radiology scheduling criteria.

Accurately and promptly check-in patients per clinic policy, collect and document payments, verify demographic information including identification, chart photo, and insurance.

Prepare the clinic daily close deposit and documents.

Monitor and coordinate with insurance companies on pre-certification and prior authorization processes, including peer-to-peer and appeals, seeking support from provider or pharmacy team when applicable.

Review scheduled visits to confirm active insurance benefit coverage and patient fiscal responsibility; communicate these details to the patient. Escalate unplanned exceptions to the provider immediately.

Obtain necessary information from patients for assistance income guidelines when applicable.

Explain forms and paperwork needed such as waivers and treatment estimates.

Communicate openly with providers, nursing staff, UM team, and coworkers about fiscal responsibility and related items via Teams, phone, email, and in person.

Job Duties

Provide support and a welcoming environment for patients and their caregivers.

Answer phones promptly and route calls or document messages within the EMR; activate/deactivate the answering service as required; follow policy for emergency calls.

Perform tasks of other patient services specialist stations as trained; cover other stations for absences, lunches, vacations, etc.

Comply with all Federal and State laws and regulations pertaining to patient care, patients’ rights, safety, billing, privacy and collections; adhere to all company policies and IT/disaster recovery plans.

Assist in training other employees.

Keep work area and records neat and orderly; maintain and ensure confidentiality of patient and employee information per policy and HIPAA regulations.

May be required to work at any company location to meet business needs.

Work with outside entities to complete forms and items needed in a timely manner.

Assist patients with completing paperwork for assistance and grant-funded programs to secure financial aid for treatment and services.

Understand patient assistance programs and grant services processes to coordinate with financial aid counseling teams.

Required Qualifications Education:

High school Diploma or GED required. Further education or degree a plus

Experience

A minimum of two years in the healthcare field required, preferably in a Radiology clinic, with patient financial background.

Patient/customer focused with prior medical terminology knowledge (ICD-9, ICD-10, CPT codes).

Prior experience verifying patient medical insurance and pre-certification/prior authorization with medical insurance.

EMR background required; prior cash handling and monetary collection experience.

Experience calculating and collecting patients’ responsibility and insurance co-pay/coinsurance.

Excellent verbal and written communication skills; strong attention to detail and multitasking ability.
