Responsibilities

Work closely with the multimedia producer, oversee the implementation of workflow processes and policies for the acquisition, ingestion, and cataloging of photo and video assets into the HLS digital asset management system (holding ~350,000 assets, with expected growth).

Establish and ensure metadata standards (controlled vocabularies, naming conventions, tagging protocols) to improve discovery and searchability.

Provide assets with relevant metadata (filenames, keywords, descriptions, subject IDs, copyright information) to optimize findability and usability.

Establish and enforce file naming conventions; manage/standardize keywords and descriptions.

Oversee accuracy of legacy metadata and address errors and inconsistencies throughout the database.

Oversee the implementation of digital finding aid record protocols for video assets and integrate video records into the HLS DAM platform.

Develop and maintain procedures for accessing and retrieving digital assets for authorized users.

Provide support and training to users of the DAM tool and create training videos as needed.

Troubleshoot issues with the DAM platform (PhotoShelter Brands) and with Harvard Law School IT Services.

Manage large-scale archival photo-related requests and projects.

Document procedures, protocols, and instructions related to the DAM system in a digital user manual.

Coordinate with the HLS Library Special Collections staff on special image requests and develop long-term plans for shared use of the collection.

Assist with the development of long- and short-term DAM strategy and vision for the school.

Oversee licensing and rights management for the digital library; verify and document usage rights and licensing terms; be the primary point of contact for licensing with internal teams and external vendors.

Assist with photographer contracts to ensure usage rights are captured in the DAM system.

Lead the integration of the DAM system’s transition into editorial and marketing efforts.

Qualifications

Basic Qualifications Bachelor's degree or equivalent experience. Five or more years of experience in library science, digital asset management, or a related field.

Additional Qualifications and Skills We are looking for people who have:

Experience in digital asset management, archival practices, or information governance.

Strong understanding of metadata standards, taxonomy, and DAM best practices.

Proficiency in DAM tools and systems (e.g., PhotoShelter Brands), CMS, and archival systems.

Knowledge of regulatory requirements related to DAM, copyright, and IP rights.

Demonstrated visual literacy with photo editing, design, and composition; proficiency with Photoshop.

Familiarity with digital preservation and archival standards.

Knowledge of emerging trends in DAM and information governance.

Other Information

Standard Hours/Schedule:

35 hours per week; Full-Time, M-F. May be required to work nights and weekends.
