Operations Specialist
Time:
Full Time with expected 40 hours per week
Pay:
$70,000 to $85,000 per year
Hours:
Monday through Thursday 8:00 am to 5:00 pm, Friday 8 am to 4 pm

Operations Specialist
position requires

Job Duties and Responsibilities
Custodian
Prepare and process all paperwork, including account opening, transfer of assets, and account changes
Process all service requests for existing accounts
Process client distribution and contribution requests
Troubleshoot account issues, proactively working with custodians, third-party providers, and clients
Process closing accounts
Track and monitor account requests in process
Maintain client online portals with custodian
Operations
Serve as contact between SWMG, clients, custodians, and third-party providers
Perform weekly service meeting preparation paperwork
Process post-meeting activities
Process check deposits
Manage Client Relationship Management (CRM) software
Process 401k rollovers
Process Roth IRA conversions
Process Required Minimum Distributions
Prepare new client folders
Track New Assets Under Management (NAUM) and new clients
Track business metrics and reporting
Assist in hiring and training new employees
Write and update policies and procedures
Perform research on various topics
Prepare for weekly meetings with the manager
Administrative Activities
Answer phones
Process inbound and outbound mail
Document scanning
Meeting scheduling
Trading Activities
Enroll, trade, and reallocate investment accounts as recommended
Prepare investment proposals
Insurance Activities
Prepare and request new insurance quotes
Process insurance applications
Guide clients through underwriting process
Advisors
Assist advisors as needed
Manage advisor licensing and registration
Manage new advisor training schedule
Events
Assist in event scheduling and preparation
Attend and assist at client and marketing events
Other work as needed
Job Requirements
Minimum of 5+ years of administrative/operations experience
Bachelor's degree preferred but not required
Detail-oriented
Exceptional customer service skills
Excellent written and verbal communication skills
Highly motivated, able to work independently and in a team
Experience in financial services is a plus
Adherence to high ethical standards
Strong operations experience, multitasking, decision-making skills
