Departmental Overview The Energy and Resources Group is a collaborative community of graduate students, core faculty, 100 affiliated faculty and researchers across the campus, and over 600 alumni worldwide. We award MA, MS, PhD, and Minor degrees to students working across disciplines and departments to create potentially transformative knowledge for the planet and its people. ERG is a world‑renowned program with a 50‑year history of outstanding research, education, and outreach to government, industry, and civil society at the state, national, and international levels.
Position Summary Directs the administrative operations of a small academic department. An experienced professional who can apply theory to practice, independently performs the full range of responsibilities within the function; possesses broad job knowledge; analyzes problems and issues of diverse scope and determines solutions.

Responsibilities
Coordinates a variety of human resources activities including employment, training, classification, and ensuring completion of HR and payroll documents for the unit/department.
Gathers, analyzes, prepares, and summarizes financial and HR reports.
Coordinates faculty searches, including search committee organization, adherence to campus policies, administration of the online recruitment system, recruitment strategies, application management, applicant communications, candidate visits, and hiring processes; recruits, hires, trains, and manages lecturers; hires, orients, and guides contractors.
Coordinates with RCNR and BRS HR on payroll and HR activities; supports unit faculty with recruitment, hiring, orientation, space, and other HR needs for lab employees, postdoctoral scholars, and visiting scholars.
Manages, plans, and administers a broad range of administrative operations in a small to medium academic department.
Hires, trains, supervises, manages, evaluates, develops, and delegates administrative operations tasks to a team of staff, students, campus partners, and contractors, including specialized projects such as web development and marketing support.
Provides budget and financial management for moderate to complex unit operations; advises the department chair on all resource matters.
Manages unit purchasing and independent contractor hiring; serves as a resource for pre‑ and post‑contract and grant work; interprets regulations, drafts proposals, ensures expenses are paid according to contract, and monitors contract and grant expenditures.
Develops and prepares budgets and financial reports for funding.
Plans, develops, and manages revenue generation and special programs, including summer‑only minors and certificate programs; supports the development and operations of online courses; develops marketing and outreach strategies; prepares business plans and market analysis.
Directs and supervises unit website and social media accounts; designs and creates print and promotional materials; administers custom Salesforce database for alumni and affiliate networks.
Performs studies for resource plans, including approach, trends, sources, and uses; supervises unit development, fundraising, and events.
Updates and monitors compliance with unit by‑laws; coordinates governance through committee organization.
Leads organization of external reviews, strategic planning for equity, inclusion, and diversity; supports faculty FTE planning.
Leads a small team of student assistants; oversees unit space planning, facilities, and IT; manages renovations, moves, and lab spaces for new and retiring faculty.
Acts as unit safety coordinator.
Represents the department to the institutional community at the college, campus, system level, and externally; serves on committees and working groups.
Required Qualifications
Thorough knowledge of and/or ability to quickly learn University rules, regulations, processes, protocols, and procedures for budget, account, and fund management, and personnel management.
Knowledge of financial analysis and reporting techniques, human resources policies and procedures for staff and academic employees.
Knowledge of or ability to quickly learn common University‑specific computer applications.
Strong skills in short‑term planning, analysis, and problem‑solving and customer service.
Interpersonal skills including verbal and written communication.
Required communication skills: active listening, critical thinking, persuasiveness, advising and counseling.
Knowledge of a variety of administrative operational skills.
Experience with event planning, basic fundraising processes, risk management, website design, accounting, payroll, and contracts and grants regulations.
Ability to use discretion and maintain confidentiality.
Bachelor’s degree in a related area and/or equivalent experience/training.
Salary & Benefits The budgeted annual salary range for this position is $80,400.00 – $112,900.00. This is an exempt, monthly‑paid position.
