A leading global investment management firm is seeking a highly organized and proactive
Executive Assistant
to support senior investment professionals within its Boston office. This individual will play a critical role in managing complex scheduling needs, coordinating internal and external meetings, arranging domestic and international travel, and ensuring seamless communication across departments and stakeholders.
Key Responsibilities
Provide comprehensive administrative support to senior investment professionals.
Manage dynamic calendars, including scheduling meetings, coordinating logistics, and maintaining up-to-date team schedules.
Coordinate marketing, client, and consultant meetings across multiple time zones, preparing materials, agendas, and follow-up documentation.
Arrange detailed domestic and international travel itineraries and make real-time adjustments as needed.
Prepare and process travel and entertainment expense reports with accuracy and attention to detail.
Track team projects, meetings, and follow-ups using spreadsheets, databases, and internal systems.
Maintain and organize electronic filing systems for presentations, reports, and marketing materials.
Communicate effectively across teams including consultant relations, sales, client relations, and marketing.
Support ad hoc projects, reporting, and confidential assignments with professionalism and discretion.
Collaborate with peers to streamline workflows and ensure continuity of administrative support.
Qualifications
Bachelor’s degree or equivalent experience.
Minimum of 5 years of administrative experience, preferably within investment management or financial services.
Familiarity with equity investment operations and a genuine interest in the investment management business.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); ability to learn systems such as FactSet, Bloomberg, and internal platforms.
Exceptional communication and interpersonal skills with the ability to build strong relationships across teams.
Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
Demonstrated initiative, sound judgment, and proactive problem‑solving ability.
Flexible, collaborative, and willing to handle tasks of varying complexity.
Availability to work extended hours and monitor communications outside of standard business hours as needed.
