Planned Giving team has an exciting opening for a Advancement Services Officer. This is a full-time, permanent position. The Advancement Services Officer (ASO) provides administrative and project assistance to members of the Planned Giving team. This position assists the eight-person team in coordinating, tracking and analyzing the team’s cross‑campus efforts in securing private support for the University of Washington from individual donors. The ASO reports to the Assistant Vice President for Planned Giving, and will receive day‑to‑day management from the Advancement Specialist for Planned Giving.
What You Will Do Program Support
Support the Manager of Estates with high‑volume estate settlement matters.
Communicate with internal and external stakeholders, including custodians of estates, law firms, UW Treasury and financial management firms.
Ensure appropriate notarization of estate settlement documents, in accordance with compliance requirements.
Maintain efficient handling of legal documents, including scanning, recording, filing and routing for signatures. Prioritize documents that require a response from the Manager of Estates.
Record and track funds received for outright and planned gifts, ensuring accordance with UW policies and procedures.
Track the allocation of gift funds and audit estate gifts.
Provide support for high‑volume transmittals of legal and financial materials.
Prepare reports and compose correspondence, acknowledgements and notifications.
Maintain accurate estate database updates.
Prepare and route forms for signatures. Coordinate with the Board of Regents Office and UW Foundation President’s Office on transmitting documents and obtaining signatures.
Administrative Support
Support three frontline fundraisers with calendaring and scheduling needs, travel arrangements and expenses.
Serve as back‑up support for the AVP and the senior director.
Prepare correspondence, meeting minutes, presentation materials, spreadsheets, reports and proposals for internal and external audiences. Draft and copy‑edit written materials.
Manage new and existing administrative and special projects that support Planned Giving.
Support the planning and production of Estate and Gift Planning Council Volunteer Board meetings.
Lead planning and production of events for the Office for Planned Giving, including Legacy Society stewardship events, advancement trainings, conferences and presentations.
Assist in communicating and disseminating information to University colleagues, constituents, external prospects and volunteers.
Update and maintain Development databases/platforms/tools and products.
Provide telephone coverage, including independently responding to callers or directing calls.
Order and track office supplies and distribute campus mail.
Collaborate with the team to propose and implement process improvements and efficiencies.
Additional duties may be assigned.
Minimum Requirements Bachelor’s degree and two years’ experience in administration, fundraising, events, community relations, marketing, higher education or related fields.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Ability to work independently and complete projects in a fast‑paced, deadline‑driven environment.
Demonstrated strong oral and written communication skills with the ability to communicate effectively within internal and external constituencies.
Experience with data management, administrative procedures and following compliance requirements.
Proficiency with Zoom, Adobe Acrobat and Microsoft Office Suite.
Ability to identify opportunities for process improvements.

Hybrid work schedule with two days in the office and three days eligible for telework.
Cubical/Open workspace environment which may result in additional or higher levels of noise and visual distractions.
Ability to work occasional evening and weekend hours, when necessary, with notice.
