The City of Green Bay Clerk’s Office is seeking an Administrative Clerk to perform varied clerical and related work of considerable difficulty, calling for judgment in carrying out prescribed routines and procedures.

The successful candidate will provide excellent customer service and thrive in a fast‑paced environment while performing data entry tasks and bookkeeping functions, including money receipting, journal entries, and general office support.

Work Schedule Monday – Thursday, 7:30 a.m. – 5:00 p.m.; Friday, 7:30 a.m. – 11:30 a.m.

Responsibilities

Serve as second receptionist and cashier; answer phones, explain department policies and procedures, and perform general receipting.

Assist in the election process by entering new voter registrations and voter changes; manage absentee votes over the counter; record voter history; assist in mailing absentee ballots and preparing ballot boxes for polling places.

Prepare agendas for meetings, record and transcribe minutes, and report to Council.

Receive and enter applications for licenses, verify information, sell and issue various licenses, permits, and passes, post payments, maintain license renewals, issue notices, perform data entry, prepare reports, and maintain related files and records.

Search parcels, issue letters of specials, calculate assessment payoffs, and maintain various indexes.

Provide clerical support for the Board of Review.

Distribute employee check‑stubs and run weekly accounts payable checks.

Receive delinquent personal property payments and delinquent special assessments, and balance with the County.

Provide general office assistance in the City Clerk’s Office.

Perform other duties as assigned.

Qualifications

High school diploma or equivalent.

Two or more years of full‑time office experience, including computer experience.

Currency‑handling experience preferred.

Success in post‑high school courses in accounting, bookkeeping, business, or related field highly desirable.

Must obtain Beginning State Voter Registration Application System (WisVote) certification within six (6) months.

A combination of equivalent experience and/or education may be considered.

Key Skills and Abilities

Good knowledge of basic office procedures, business English, spelling, punctuation, and grammar; familiarity with business letter forms and filing procedures.

Strong mathematical computation skills, cash handling, and bookkeeping procedures, including preparing journal entries.

Proficient in full data entry functions and using required software; ability to operate office machines.

Ability to follow oral and written instructions; effective written and oral communication; ability to establish and maintain effective working relationships with staff and the public.

Ability to work required hours of the position.

Typing and other testing tools will be used to assess skills.

Physical Requirements

Lifting and carrying up to 20 pounds.

Frequent standing and sitting.

Ability to focus for long periods on projects.

Ability to reach, stoop and lift.
