Director of Finance & Administration | office management, administration, program development We are seeking a proactive and highly organized Warehouse & Logistics Manager to direct and optimize the logistical flow and facility operations essential to our mission. This pivotal role involves managing all aspects of the warehouse, including inventory, donation processing, and volunteer supervision. Furthermore, you will be responsible for the management and maintenance of our essential Tool Trailer fleet, ensuring materials are delivered efficiently to job sites, and maintaining the overall functionality of our facility. This role is crucial in ensuring our teams have the necessary resources and reliable equipment to execute successful home repair projects for the community.

Overall Nature and Scope of Position Direct and oversee all operations related to warehouse and logistics activities, ensuring efficient supply chain processes, volunteer coordination, and facility upkeep in alignment with Rebuild Upstate’s mission.

Key Responsibilities Inventory & Resource Management

Strategic Inventory Control: Maintain meticulous and accurate records of all tools, building materials, and supplies using an inventory management system. Proactively monitor stock levels and manage the reordering process to ensure continuous availability of essential resources.

Tool Trailer Fleet Management: Oversee the organization and maintenance of all project tool trailers. Ensure trailers are completely restocked with necessary tools and consumables after every home repair job to guarantee readiness for the next project.

Donation Processing & Stewardship: Direct the entire donation receiving process, including acceptance, sorting, rigorous quality inspection, and systematic organization of incoming building materials and tools. Process and issue donation receipts to donors upon acceptance.

Materials Distribution: Coordinate the timely preparation, loading, and transfer of materials and supplies to various departments and job sites, collaborating closely with project staff to ensure all teams are properly equipped.

Fleet & Delivery Logistics

Job Site Deliveries: Safely and efficiently transport and deliver materials, tools, and company trailers to various home repair job sites as needed.

Vehicle & Trailer Maintenance: Oversee and coordinate all routine maintenance for company vehicles and trailers (e.g., oil changes, tire rotations, inspections) to ensure the fleet remains safe, reliable, and compliant with all regulations.

Facility Operations & Maintenance

Facility Upkeep: Manage and perform minor maintenance and repairs on the warehouse facility, ensuring all operational systems (e.g., lighting, non-specialized equipment) are functioning correctly.

Safety & Compliance: Enforce and uphold all safety protocols and maintenance standards, ensuring a consistently clean, organized, and secure warehouse environment that complies with all health and safety regulations.

Volunteer Program Management: Recruit, train, schedule, and directly supervise volunteers and small teams assisting with general warehouse operations, donation processing, and inventory organization.

Tool Trailer Volunteer Supervision: Specifically manage and train regular volunteers focused on inventorying, organizing, and restocking the tool trailers after project use.

Support & Engagement: Provide clear guidance, direction, and support to foster a productive and positive experience for all warehouse volunteers.

Reporting & Communication

Operational Reporting: Generate and present detailed reports on key performance indicators, including inventory valuation, donation volume, material usage, and volunteer hours.

Donor & Internal Communication: Communicate and coordinate regularly with the Community Engagement team regarding incoming gifts‑in‑kind donations to ensure proper donor acknowledgement and tracking.

Stakeholder Communication: Provide regular updates to the leadership team and other departments on logistical operations, resource status, and any challenges or strategic opportunities.

Qualifications

Proven experience in warehouse management, logistics, operations, or a related field.

Demonstrated proficiency with inventory management software or a strong ability and willingness to quickly learn new systems.

Exceptional organizational skills and a strong ability to manage time, prioritize competing tasks, and work effectively with minimal supervision.

Excellent written and verbal communication and interpersonal skills, with the ability to lead and motivate volunteers.

Valid driver's license and a clean driving record required; experience towing trailers preferred.

The work environment involves both warehouse oversight and operational planning within the facility. Physical activity will be required while receiving, organizing, and distributing home repair materials or supervising volunteer efforts on the warehouse floor.

Salary:

$45,000.00 to $55,000.00 /year based on experience

Paid time off starting at 15 days
