The Building Services Coordinator plays a key role in maintaining a safe, clean, and welcoming environment for everyone who walks through The Council’s doors. This position supports the day‑to‑day operations of the building, coordinates maintenance activities, assists with events and office moves, and ensures the facility runs smoothly. The ideal candidate is dependable, organized, and takes pride in creating a space that supports healing, recovery, and community.
Key Responsibilities
Coordinate and monitor daily building operations, including HVAC, lighting, plumbing, and general repairs.
Respond to maintenance requests and address facility issues promptly.
Schedule and track routine maintenance and inspections to keep systems running efficiently.
Perform light maintenance tasks such as changing filters, replacing light bulbs, or coordinating minor repairs.
Ensure the building and grounds are safe, clean, and in good working order.
Coordinate IT‑related equipment distribution, setup, and inventory with internal staff and vendors.
Support the maintenance and troubleshooting of phone systems and related communication equipment.
Vendor & Contractor Coordination
Serve as the primary contact for vendors, maintenance providers, and service contractors.
Schedule and oversee vendor visits to ensure work is completed correctly and safely.
Maintain accurate logs of maintenance requests, vendor work orders, and inspections.
Safety & Security
Support safety initiatives and emergency preparedness efforts.
Conduct regular safety and security checks throughout the building.
Coordinate building access for staff, visitors, and vendors, including proxy cards, garage clickers, and ID badges.
Maintain accurate records of access assignments and returns.
Report hazards, damage, or safety concerns immediately.
Administrative & Operational Support
Maintain records of repairs, maintenance schedules, and supply inventories.
Track and manage equipment disposition to ensure proper reuse or disposal.
Assist with ordering and restocking facility supplies.
Support the CFO and Facilities team with basic documentation and reporting.
Event & Space Coordination
Assist in setting up meeting rooms and community recovery spaces for events and programs.
Move furniture or equipment as needed for setup or reconfiguration.
Ensure rooms are clean, orderly, and ready for scheduled use.
Project Support
Support facility improvement or small renovation projects as directed.
Help coordinate logistics, schedule vendor visits, and track progress on assigned projects.
Requirements Education
High school diploma or equivalent required.
Knowledge, Skills, And Abilities
General understanding of building maintenance and safety practices.
Ability to perform basic repairs and troubleshooting.
Familiarity with IT and telecommunications equipment setup and tracking.
Strong organizational skills and attention to detail.
Good communication and teamwork skills.
Ability to manage multiple tasks and work independently with minimal supervision.
Comfortable working in a community-focused environment that values compassion, respect, and accountability.
Physical Requirements
Ability to walk, stand, climb stairs, bend, and lift up to 50 pounds occasionally.
Ability to work in various environments, including outdoors and mechanical areas.
Other Requirements
Valid driver’s license and clean driving record.
Ability to respond to building-related needs or emergencies outside regular business hours if required.
