Finance Purchasing Agent Assistant at Borough of Manhattan Community College. Overview
Under direct supervision, assists purchasing agents in the purchasing of various commodities, following standard procedures and legal requirements. Performs related work, including preparing purchasing documents, tabulating and analyzing bids, examining samples, and investigating bidders. Coordinates day‑to‑day accounting activities of the Purchasing Department and manages purchases through various budgets. Responsibilities
Assist purchasing agents in the purchasing of commodities, working in accordance with standard procedures and legal requirements. Prepare necessary purchasing documents; perform bid tabulations and analysis, examine samples, and investigate bidders. Maintain records of requisitions received, contracts, and mailing lists of prospective bidders. Edit and revise specifications and conditions of purchase. Assist in preparing purchase proposals and suggest possible sources of supply. Follow up on delayed deliveries. Examine trade journals, directories, catalogues, and technical manuals to stay familiar with market conditions, price trends, and trade practices. Interview salesmen and business representatives (where applicable). Coordinate the day‑to‑day accounting activities of the Purchasing Department, including answering phone calls, scheduling meetings, drafting correspondence, and maintaining all Purchasing and Buyer daily calendars. Manage purchases made through Related Entities budgets and the College’s Manhattan Educational Opportunities Center (MEOC) budgets. Register suppliers in the NYC Payee Information Portal and CUNYBuy Supplier Registration Systems, and follow up with suppliers and college departments as needed. Create phone bids and requests for quotes, gathering all supporting documentation required by Buyers. Maintain and update all internal shared folders. Minimum Qualifications
High school graduation or its equivalent and two years of full‑time, paid experience in purchasing a large volume and/or variety of materials, supplies, or equipment, or two years of experience in a closely related field such as inspection or specification writing covering a large volume and/or variety of materials, supplies or equipment; or A baccalaureate degree, from an accredited college, in marketing, materials testing, mathematics, merchandising, purchasing, retailing, economics, or finance; or A combination of education and/or experience which is equivalent to 1 or 2. Education at an accredited college in the fields mentioned in 2 may be substituted for experience. Compensation
New Hire: $46,172* Incumbent: $52,180 This amount reflects a 13% salary suppression in effect for the first 24 months of employment only. Benefits
