Regulatory Compliance Specialist
Base pay range: $70,000.00/yr - $75,000.00/yr
The Regulatory Compliance specialist, in this highly detail-oriented role, is responsible for coordinating the workflow of domestic and international product labeling projects, maintaining all project documentation, obtaining required approvals, and communicating new and revised ingredient declarations to all stakeholders involved. This role ensures vendor approval documentation is complete and up to date, including but not limited to certificates, ingredient specifications, and certifications. The associate also supports regulatory and customer compliance programs, religious certifications, and internal QA documentation. All employees in this role are required to report any food safety issues to their supervisor immediately. This position requires travel to all four bakery locations (NY/NJ).
Maintain up-to-date vendor information in accordance with the Approved Vendor Policy.
Request and maintain raw material documentation as outlined in the Raw Material Specification Policy.
Support Sales & Marketing with nutritional information for new and existing products using Genesis software.
Collaborate with the Product Commercialization Coordinator to create and maintain product specifications, including photos and related documentation.
Maintain up-to-date records on customers’ QA regulatory platforms; upload necessary compliance documentation.
Complete customers’ food safety questionnaires and documentation to establish EDUSA as an approved vendor.
Approve printed artwork to ensure compliance with regulations and internal/customer requirements.
Maintain kosher documentation, including ingredients and finished products.
Manage projects from initiation to completion in a dynamic, fast-paced environment.
Prioritize tasks, adapt to unexpected changes, and meet critical deadlines.
Ensure all vendor and ingredient documentation is audit ready.
Serve as a member of the HACCP Team and support the development of hazard analyses for new ingredients and food-contact packaging as per FSMA.
Maintain and ensure compliance with religious certification requirements.
Coordinate external religious audits and conduct internal compliance audits.
Maintain documentation for ingredient traceability and supplier approvals.
Provide or coordinate training related to compliance and religious standards.
Knowledge, Skills, and Abilities
Strong organizational, documentation, and project coordination skills.
Proven success in new product development and product launch processes.
Experience in formula setup and product specification audits.
Proficiency in Genesis Nutritional Software and labeling programs.
HACCP Certification required; knowledge of FSMA regulations.
Knowledgeable of GS1‑128 barcodes and their application in regulatory and traceability requirements.
Experience working in multicultural environments; bilingual (Spanish) preferred.
Qualifications / Minimum Requirements
Associate degree required; concentration in Baking & Pastry, Food Science, or Food Engineering preferred.
Minimum of 3 years of experience in a related compliance or QA role in a food manufacturing setting.
Working knowledge of Microsoft Office and ERP systems.
Familiarity with warehouse and traceability software.
Strong understanding of GMPs, food safety, HACCP, lab techniques, and third‑party certifications (Organic, Kosher, SQF).
Physical Demands
Must be able to perform essential job functions with minimal supervision.
May be exposed to varying temperature conditions (heat/cold) while visiting production or warehouse areas.
Position may require standing or walking on the production floor; occasional lifting of documentation materials.
