Surgery Scheduler 1
Job Overview Works in the Department of Orthopedics in Miami, FL, coordinating and scheduling surgical procedures and serving as a liaison among physicians, medical staff, other departments, and patients to ensure efficient surgical scheduling and provide an excellent healthcare experience.
Core Responsibilities
Schedules surgical appointments and monitors cancellations, keeping the daily schedule accurate and current.
Completes necessary paperwork prior to pre‑op appointments and obtains referrals and authorizations.
Follows up with appropriate departments to ensure all pre‑op results are available before the procedure.
Informs patients about activities during the visit and provides a pamphlet of the appropriate surgical facility.
Apprises patients of financial responsibilities prior to the date of the procedure.
Adheres to University and unit‑level policies and procedures, safeguarding University assets.
Receives requests for surgery dates by facsimile, telephone, or in person from physicians, secretaries, or patients.
Obtains all pertinent information to schedule a case, including demographics (e.g., estimated time of surgery, procedure, diagnosis, length of surgery), either by identifying the patient in Epic or by contacting the patient; uses this information to complete the Surgical Data Form.
Schedules patient in the Operating Room block and posts procedures in the operating room systems at JMH, UHealth towers, and Lennar Foundation Medical Center.
Contacts patients to inform them of surgery dates, time, and location.
Informs patients of lab work requirements; completes and faxes order forms for lab work for patients with non‑contracted HMO insurances.
Ensures nurses schedule patients for labs; provides signed consent forms and physician orders to the hospital preoperative office.
Updates the OR log to show received documents.
Distributes surgical schedules for the upcoming week to surgeons at the end of each week.
Verifies benefits and obtains all pertinent information regarding deductibles, out‑of‑pocket amounts, and claim payments.
Communicates deductible, out‑of‑pocket payments, and patient balance percentages to patients; collects payment information prior to service date.
Refs patients to the finance department for payment processing; does not collect payments directly.
Schedules pre‑op and post‑op appointments, ensuring referrals and authorizations are obtained.
Codes procedures and diagnoses (physicians perform their own coding).
Contacts insurance to request authorizations, supplying required information.
Corrects patient registration and insurance information as necessary.
Monitors patients 2–3 days prior to surgery, verifying that necessary lab work was completed and results were faxed to the appropriate facility.
Submits surgical data forms to the billing department and uploads documents into Epic.
Provides patients with the telephone number and email of the University of Miami estimate department.
Performs other duties as assigned by supervisor.

Qualifications
High School diploma or equivalent.
Minimum 1 year of relevant experience.

Ability to process and handle confidential information with discretion.
Ability to work independently or in a collaborative environment.
