Hourly Wage
The hourly pay range for this position is $26 per hour – $32 per hour.
Work Hours
Monday – Friday, 8:00 a.m. – 5:00 p.m.
Key Purpose
The Catering Sales Administrator provides administrative and operational support to the Catering Sales team to ensure seamless coordination of events from inquiry to completion. This position is responsible for client communications, proposal and contract preparation, system data entry, and interdepartmental coordination. The role requires exceptional attention to detail, strong organizational skills, and a commitment to outstanding client service consistent with the standards of the Stanford Faculty Club.
Essential Duties And Responsibilities
Assist the Catering Sales team with preparing proposals, contracts, and Banquet Event Orders (BEOs).
Respond promptly and professionally to client inquiries via phone, email, and walk‑ins.
Schedule client site visits, tastings, and event planning meetings.
Maintain accurate client records, event details, and booking information in the club’s catering management system.
Prepare sales reports, forecasts, and administrative documents as requested.
Event Coordination & Administration
Coordinate with culinary, banquet, and operations teams to ensure all event details are accurately communicated and executed.
Track deposit schedules, contract deadlines, guarantees, and final payments.
Support post‑event follow‑up, including client feedback collection and final billing.
Maintain and update catering menus, pricing sheets, and promotional materials.
Assist with event signage, menu printing, and on‑site setup support during major events as needed.
Key Areas of Collaboration and Influence
Collaborate with individuals in the client organization who play a role in the success of the catering department.
Coordinate activities with other internal departments and participate in leadership management team meetings.
Interface with vendors and key service users within client organizations.
Coordinate with clients regarding inquiries for hosting high‑end or large/custom events.
Communication & Collaboration
Serve as a liaison between sales, operations, culinary, and accounting departments.
Support the Catering Sales Manager and Executive Director during high‑volume periods.
Participate in weekly event and operations meetings to review upcoming functions.
Maintain a professional and service‑oriented approach with members, guests, and vendors.
Ideal Candidate Experience
Associate’s or Bachelor’s degree in Hospitality Management, Business Administration, or related field preferred.
Minimum of 2 years of experience in catering, events, or hospitality administration.
Strong computer skills with proficiency in Microsoft Office Suite; experience with catering or CRM systems preferred.
Excellent written and verbal communication skills.
Strong organizational abilities and attention to detail; capable of managing multiple priorities.
Team‑oriented with a positive, professional demeanor.
Physical Demands & Work Environment
Work up to 8 hours a day on your feet, excluding breaks.
Office and event environment; occasional evening or weekend work may be required during major events. Requires extended periods of sitting, data entry, and event support activity.
Must be able to lift a minimum of 25 lbs.
Come to work properly dressed according to the dress code.
Be able to work under pressure and meet time deadlines during peak periods.
