Snyder Cohn is seeking a full-time Administrative Assistant (AA) to provide proactive, high-level administrative and client service support to assigned Partners and professional staff in a fast-paced public accounting environment. This individual will serve as a point of contact for certain clients, not only responding promptly to inquiries, but also proactively reaching out to ensure smooth communication, timely follow-up and exceptional client service. The AA will coordinate administrative projects, as well as administrative support to assigned partners. Support includes managing the preparation and completion of client correspondence and engagement letters, as well as playing a vital role in coordinating tax and accounting deliverables, ensuring the accurate assembly of tax returns, timely processing of tax estimates and efficient management of client documentation. Due to the nature of the role, this position is on-site only (no remote option available).

Principal Duties and Responsibilities

Administrative Support for Partners

  • Provide comprehensive administrative support to assigned Partners, managing day-to-day workflow and ensuring timely completion of deliverables.
  • Prepare, review, and finalize professional correspondence, engagement letters, and client documentation in alignment with firm standards.
  • Coordinate special projects and administrative initiatives with Partners and firm leadership.
  • Monitor Partner in/out boxes to ensure efficient routing and handling of documents and correspondence.
  • Assist with document preparation, scanning, copying, and mailing as needed.

Client Communication & Support

  • Serve as a professional and responsive point of contact for clients, addressing questions, coordinating document requests, and ensuring timely follow-up.
  • Proactively reach out to clients to obtain information, provide updates on return status, and confirm delivery timelines.
  • Assemble and process client tax returns, extensions, and estimates during busy seasons.
  • Respond to client billing and administrative inquiries, coordinating with Partners and accounting staff as needed.
  • Maintain client records and ensure accurate documentation within the firm’s management systems.

Reception & Office Support

  • Greet and assist clients, visitors, and vendors with professionalism and a client-first mindset.
  • Answer and route incoming calls, take detailed messages, and ensure prompt follow-up.
  • Maintain the reception area and conference rooms to ensure they are client-ready at all times.
  • Support office logistics including mail distribution, supply coordination, and meeting preparation.
  • Provide back-up coverage and collaborative support to other administrative team members as needed.

Qualifications

  • 5+ years of experience providing administrative support to multiple professionals, preferably within a public accounting, legal, or professional services firm. Bachelor's degree a plus.
  • Proficiency in Microsoft Office Suite and experience with document management or tax workflow systems (e.g., CCH, or similar).
  • Strong client service orientation, professionalism, and discretion in handling confidential information.
  • Excellent written and verbal communication skills, with strong attention to grammar, formatting, and accuracy.
  • Highly organized and detail-oriented, with the ability to manage multiple priorities in a deadline-driven environment.
  • Self-motivated and proactive, with strong follow-through and the ability to anticipate needs.
  • Positive, team-oriented attitude and a commitment to delivering quality work.
  • Willingness to work overtime (evenings/weekends) during peak tax seasons.

This position has an hourly range of $36.06/hour - $40.87/hour, plus overtime.

The above salary range represents a general guideline; however, Snyder Cohn considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions. As such, in certain circumstances, offers may be outside of the listed salary range.
